About The Position

The position provides analytical and administrative assistance for leave of absence requests across the United States. This entry level role assists with the case intake, documentation, eligibility review, adjudication and communication throughout the leave process. The analyst ensures timely and accurate processing of leave requests by following established guidelines, providing clear and supportive service to internal and external clients, and collaborating cross-functionally to confirm that all benefit triggers are correctly applied or updated. This role builds foundational knowledge of federal and state leave regulations and contributes to consistent, compliant and positive employee experience.

Requirements

  • Typically 2+ years General Human Resources experience required
  • Typically 1+ years Leave of Absence process experience preferred
  • Knowledge of federal, state, and client-level company policies where applicable (e.g., FMLA, ADA, PFML) (Basic proficiency)
  • Experience with leave management systems and HRIS platforms. (Basic proficiency)
  • Ability to manage multiple cases and meet strict compliance deadlines. (Basic proficiency)
  • Professional written and verbal communication skills. (Intermediate proficiency)
  • Strong analytical and problem-solving abilities. (Basic proficiency)
  • High attention to detail and accuracy in documentation. (Basic proficiency)
  • Proficiency in Microsoft Office Suite, especially advanced Excel. (Basic proficiency)
  • Ability to maintain confidentiality and ensure compliance with privacy regulations. (Intermediate proficiency)
  • Effective collaboration with cross-functional teams (HR, payroll, benefits, legal). (Basic proficiency)
  • Ability to identify and escalate compliance risks or complex cases. (Basic proficiency)

Responsibilities

  • Intake, process, and manage all employee leave requests in the leave management system, including FMLA, ADA accommodations, parental, medical, military, workers’ compensation coordination, and state mandated leave programs, ensuring compliance with federal, state, and company regulations.
  • Determine eligibility, issue required notices, and ensure all documentation is complete, accurate, and submitted on time.
  • Track outstanding documents and send timely reminders to employees and clients as needed.
  • Review medical certifications for completeness and compliance, and monitor all deadlines, including certification, recertification, and provider follow-up requirements.
  • Adjudicate leave requests within established guidelines, determining approval, denial, or the need for additional information.
  • Partner with payroll and benefits teams to ensure accurate pay coding, deductions, benefits continuation, and COBRA coordination when applicable.
  • Collaborate with payroll, benefits, HR partners, legal, and other cross functional teams to provide case updates, clarify policies, and resolve issues.
  • Escalate complex, ambiguous, or high risk cases and communicate potential compliance concerns or documentation gaps to senior or lead team members.
