The LOA Administrator supports and administers employee leave programs, including FMLA, short‑term and long‑term disability, company medical leave, accident leave, military leave, and other qualifying leaves. This role provides day‑to‑day guidance and case management for employees and managers while ensuring compliance with federal/state regulations and company policies. This position requires bilingual fluency in Spanish and English, strong attention to detail, and the ability to communicate complex leave information with empathy and clarity. The LOA Administrator works with growing independence on moderately complex work and collaborates closely with Human Resources, Benefits, Payroll, Workers’ Compensation, and external vendors.

Requirements

  • Bachelor’s degree.
  • Minimum of 2 years of experience in leave administration, FMLA case management, or HR benefits.
  • Bilingual fluency in Spanish and English (verbal and written).
  • Working knowledge of FMLA, disability programs (STD/LTD), and common leave types.
  • Experience with HRMS or leave management systems; strong attention to accuracy and data integrity.
  • Excellent communication, customer service, and problem‑solving skills.
  • Experience supporting multi‑state leave administration.
  • Familiarity with ADA and return‑to‑work/accommodation processes.
  • Experience working with TPAs or disability carriers.

Nice To Haves

  • HR certification (SHRM‑CP, PHR, CBP) preferred but not required.

Responsibilities

  • Manage Leave of Absence cases including FMLA, STD/LTD, company/medical leave, military leave, and other statutory leaves.
  • Provide bilingual (Spanish/English) guidance on eligibility, certification requirements, deadlines, and employee responsibilities.
  • Track documentation, certification/recertification deadlines, return‑to‑work dates, and fitness‑for‑duty requirements.
  • Ensure all FMLA and leave notices are issued accurately and within required timeframes.
  • Interpret and apply federal FMLA regulations and applicable state/local leave laws.
  • Maintain accurate documentation ensuring compliance with HIPAA and company privacy requirements.
  • Prepare and store compliance notices (eligibility, rights & responsibilities, designation, etc.).
  • Partner with managers on return‑to‑work plans, modified schedules, or accommodations (in partnership with HR/ADA specialists).
  • Coordinate with Payroll to ensure correct coding of paid/unpaid time and PTO usage.
  • Interface with leave/disability vendors or third‑party administrators (TPAs) to obtain status updates and resolve issues.
  • Demonstrate familiarity with closed‑loop payroll deduction processes.
  • Support dashboards, case metrics, and reporting related to leave volumes, timeliness, and compliance.
  • Maintain accurate, audit‑ready records.
  • Identify trends and contribute to process improvements.
