About The Position

The Specialist IV, HR Compliance & Employee Relations provides experienced, hands-on support to the Director, HR Compliance & Employee Relations, within a highly regulated environment. This role is responsible for executing operational aspects of HR compliance, immigration support, employee relations administration, and policy and procedure project management. The Specialist applies sound judgment, maintains strict confidentiality, and executes assigned responsibilities independently within established policies, procedures, and escalation protocols. While the role requires independent execution and analytical judgment, final authority for risk decisions, policy interpretation, and employee relations outcomes remain with the Director. The Specialist is expected to proactively escalate complex, high-risk, or non-routine matters in accordance with established protocols. This is not an entry-level role and requires demonstrated experience navigating regulated HR environments, audits, and sensitive employee matters.

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • 4-7 years of progressive experience in HR compliance, employee relations support, immigration coordination, or HR operations.
  • Demonstrated experience working in highly regulated environments (e.g. federal contractor, government-adjacent, healthcare, energy, manufacturing, or similar)
  • Strong working knowledge of employment laws, HR compliance requirements, and employee relations practices.
  • Experience supporting immigration or work authorization processes strongly preferred.
  • Proven ability to manage assigned workstreams independently while operating within defined authority levels and governance frameworks.
  • Strong judgment and discretion when handling sensitive employee and compliance matters.
  • Exceptional organizational, documentation, and follow-through skills.
  • Strong written and verbal communication skills.
  • Proficiency with HRIS platforms, document management systems, and Microsoft Office.
  • Ability to manage competing priorities and meet deadlines in a fast-paced, compliance-driven environment.

Responsibilities

  • Independently execute assigned immigration-related tasks, including support for employment-based visas, extensions, status changes, and work authorization documentation.
  • Coordinate with internal stakeholders and external immigration counsel to ensure timely and accurate submission of required documentation.
  • Maintain immigration case trackers, compliance logs, and deadline monitoring with a high degree of accuracy.
  • Support I-9 compliance activities, internal audits, remediation efforts, and document retention requirements.
  • Identify risks, gaps, or inconsistencies and escalate issues appropriately to the Director.
  • Serve as the primary operational support for employee relations cases, including management of the employee relations intake mailbox, coordination and scheduling of intake meetings in alignment, case intake documentation, case tracking, and records management.
  • Prepare investigation materials, timelines, summaries, and supporting documentation for Director review.
  • Conduct lower-complexity employee relations fact-finding reviews and preliminary investigations in accordance with established protocols, including gathering relevant information, documenting findings, and preparing summaries for Director review.
  • Maintain confidential employee relations files in accordance with legal, regulatory, and internal standards.
  • Support corrective action documentation, policy interpretation, and follow-up actions under the direction of the Director.
  • Support HR compliance initiatives in a regulated environment, including wage and hour audits, policy compliance reviews, regulatory reporting, and internal controls.
  • Collect, analyze, and validate HR data required for audits and compliance reviews.
  • Track compliance actions, remediation plans, and deadlines across multiple initiatives.
  • Partner cross-functionally with Legal, Payroll, HRIS, Compensation, and other stakeholders as applicable to support compliance alignment.
  • Proactively identify compliance risks and recommend process improvements for Director consideration.
  • Support the development, review, maintenance, and rollout of HR policies and procedures.
  • Manage policy version control, approval tracking, and acknowledgment processes.
  • Maintain centralized policy libraries, trackers, and documentation repositories.
  • Coordinate timelines, deliverables, and communications for HR Policy initiatives.
  • Ensure policies and procedures align with regulatory requirements and organizational standards.
  • Prepare compliance metrics, dashboards, and summary reports for leadership review.
  • Maintain project plans, trackers, and documentation for ongoing HR initiatives.
  • Support training preparation, compliance communications, and employee awareness efforts.
  • Handle sensitive information with a high level of discretion, accuracy, and professionalism.
