Associate Director, Media Operations We are looking for an operations expert to serve as the backbone of our Media Strategy department. In this role, you will be responsible for assessing, defining, and architecting workflows that make our department function with efficiency and excellence. You will partner with the SVP of Media Strategy to operationalize our capabilities, linking systems together to create optimized, automated workflows. We need someone who sees the big picture but obsesses over the details —an architect of efficiency. You will not simply manage tasks you will own the SOPs for the entire media lifecycle, from planning and activation tagging to data ingestion and QA.

Requirements

  • 6+ years in operations or project management within a media agency setting.
  • Experience with using AI tools to help create and streamline workflows
  • Advanced proficiency in tools such as Excel, Workamajig, AirTable, Mediaocean, Sharepoint (or similar) to link disparate data sources, create dynamic templates, and manage complex trackers.
  • An innate ability to identify operational gaps and the drive to fix them independently. You don't wait for permission to organize the chaos; you see where processes are broken (e.g., file structures or workflows) and you build the solution.
  • Understanding of media planning/buying financials, budget management, and operational reporting; experience within the pharmaceutical industry is preferred
  • Proven ability to problem solve, gain alignment with cross-functional teams, and liaise with broader leadership to ensure vision and expectations are met.

Responsibilities

  • SOP Development and Management : Assess, define, and implement robust SOPs for all elements of the media lifecycle, including media planning, tagging and trafficking, and campaign performance and financial management. Own the revision and enhancement of existing SOPs.
  • Architect Operational Systems: Design and maintain complex tracking systems, specifically leveraging advanced Excel functions (cross-sheet referencing, automated templates, and data validation) to link various department workflows.
  • Standardize Tools and Templates : Establish and maintain a centralized repository for department materials, including contracts, benchmarks, platform credentials, and research; and drive consistency by maintaining department templates for workbooks and presentations
  • Partner Management Manage partner logistics, including tracking NDA expirations, organizing capability decks, and scheduling capabilities reviews and follow-ups
  • System Implementation: Lead the rollout of new tools, templates, and systems across the agency to ensure team adoption and data integrity.
  • Legal & Partner Operations : Lead operational work-streams relating to legal and data governance, including managing compliance requirements for our media partners and acting as the liaison with internal counsel regarding media contracts and privacy standards.
  • Resource Allocation: Partner with media and operations leadership to provide insight on staffing related to forecasted work and financials, helping to assess needs and drive consistency.
