Requirements

  • Three years of Administrative Assistant experience
  • Excellent computer skills including Word, Powerpoint, and Excel
  • Outstanding organizational skills (time management and follow-up)
  • Advanced written and verbal communication skills
  • Ability to compile and analyze data, pull reports from various systems with strong attention to detail and accuracy.
  • Possess a positive attitude and friendly disposition.
  • Be comfortable working within a fast-paced and highly entrepreneurial organization.
  • Must be able to use downtime effectively by contributing and assisting with the heavy workload of other departments and/or team members.
  • Demonstrate initiative, strong multi-tasking skills, good judgment, sense of urgency and professionalism.
  • Proven ability to work in a team environment and independently.
  • Customer-service orientation

Responsibilities

  • Greet and direct visitors and walk-in customers.
  • Answer phones and direct to appropriate department
  • Order uniforms for new employees and maintain supply of uniforms for current employees.
  • Monitors the respond and recover portal and respond to customer inquiries by daily deadline.
  • Administer office supplies while monitoring location budget.
  • Maintain override code distribution.
  • Review and allocate P-card charges to designated GLs.
  • Pay bills accurately and within planned budget according to period calendar.
  • Maintain process for sorting, packaging, and storing invoices and other documents.
  • General office functions such as faxing, filing, and distribution of mail.
  • Backfill duties of other administrators when needed.
  • Support Unit General Manager as needed with reporting, scheduling, and completing expense reports.
  • Work with complex and confidential documents or reports
  • Typing of letters, memos, and flyers
  • Create customer invoices using handheld computer to include employee drink sale tickets.
  • Manage phone inventory for location.
  • Administer employee drink sale process including reconciliation to monies collected.
  • Administer donated product process.
  • Adhere to all global control standards.
  • Other administrative, receptionist, and customer support responsibilities as assigned to include coverage for peers.
