About The Position

ESSENTIAL RESPONSIBILITIES: Assists Director with administrative functions of the WIC Program by keeping informed of program operations and demonstrating a thorough knowledge of the program. Supervises the WIC Program in the absence of the Program Director. Supervises the daily operations of the WIC clinics. Assists Director by maintaining functional file system for records, correspondence, State Agency memos and reports in accordance with State Agency policy; distributes information and communicates updates/changes to staff as required. Prepares and processes periodic statistical and operating reports generated by the WIC MIS as required by higher authorities. Responsible for inventory and ordering of all supplies and equipment. Responsible for troubleshooting, updating and installing computer updates as required by WIC State and Local Agency. Enters and processes reports, letters, communications, spreadsheets and forms. Orients new staff with regard to WIC office procedures. Responsible for reviewing monthly counts, enrollment caseload as well as other WIC State Agency and Local Agency reports. Refers clients to other health related and social agencies. Maintains all medical equipment in working order. Responsible for scheduling of clinics and staff. Responsible as Exposure Control Officer in overall management and support of our Bloodborne Pathogens Compliance Programs, revising and updating as necessary to conform with OSHA standards. Responsible for initial and annual training of employees on infectious control and scheduling of Hepatitis B vaccinations. Monitors WIC clinic sites to assure compliance with State Agency policy and procedure. Assists Director and/or Outreach Coordinator in coordinating outreach events and fundraisers. Performs other reasonable-related duties as assigned by WIC Director as required. ADDITIONAL RESPONSIBILITIES: Attends meetings as required. Participates in required job-related training. Performs overnight travel as required. Safely drives all WIC vehicles.

Requirements

  • Demonstrated management skills, and the ability to plan, and appropriately prioritize responsibilities.
  • Demonstrated interpersonal skills, including the ability to coordinate projects.
  • Demonstrated judgment and discretion in working with sensitive information and confidential matters
  • Strong working knowledge of MS Word, PowerPoint, Outlook and Excel.
  • Ability to prioritize workload and complete duties in a timely manner
  • Ability to multi-task and respond to multiple requests in a positive manner
  • Ability to communicate clearly and concisely, both orally and in writing
  • Ability to establish and maintain working relationships with department staff and the general public
  • Ability to use sound judgment in making independent decisions.
  • Ability to comprehend both oral and written instructions to carry out complex tasks
  • Ability to write complex reports and correspondence.
  • Associates Degree in Business Management or related field. (Required)
  • Minimum one year supervisory/management experience and/or five years’ experience with a WIC program (Required)
  • Current PA Drivers License (Required).
  • Free of Child Abuse/Neglect history as verified by proper authorities. (Required)
  • Must obtain FBI Fingerprinting, PA State Police Background Check, Child Abuse and NSOR Clearances prior to starting employment. (Required)
