About The Position

United Talent Agency (UTA) seeks an Assistant to support the Head of Ventures and Licensing. UTA is a leading global talent and entertainment company representing many of the world's most acclaimed figures in film, television, music, digital media, and beyond. Our Ventures and Licensing group partners with passionate entrepreneurs to build innovative businesses across media, tech, consumer products and experiences. We are looking for a highly organized and motivated individual who has exceptional communication skills, strong attention to detail, client ready presence, and the ability to thrive in an ultra-fast environment. This role offers a unique opportunity to work closely with industry-leading talent and meaningfully contribute to the success of the department. This is a full-time position with benefits and will pay $23.00 - $27.00 per hour based on experience.

Requirements

  • Bachelor's degree preferred.
  • Prior experience in a similar administrative role or one with deep strategic and operational duties
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills, with a high level of professionalism and attention to detail.
  • Proficiency in Microsoft Office Suite and AI workflows.
  • Proactive attitude with a willingness to take initiative and problem-solve independently.
  • A passion for the integration of entertainment, tech/venture, and consumer platforms.

Responsibilities

  • Provide administrative support, including managing phone, calendar, scheduling meetings, and coordinating travel arrangements.
  • Create client submission lists, handle client bookings, and manage all client correspondence.
  • Assist in preparing client strategy, presentations, and other materials for meetings.
  • Track and review contracts, client calendars, and payments through a series of detailed grids
  • Manage expenses and maintain accurate records using company systems and software.
  • Support in the coordination of logistics for client events, industry conferences, and promotional opportunities.
  • Conduct research and gather information as needed to support client projects and initiatives.
  • Collaborate with team members and other departments within UTA to ensure seamless communication and workflow.
