About The Position

The Assistant Registrar will support the Registrar and registration department by performing a variety of professional tasks to support the collection and loans and exhibition program at Glenstone. Primary duties include coordinating the outgoing loans program, managing framing projects, supporting new acquisitions, ongoing file management, and supporting gallery rotations. This position will support activities across Glenstone’s 60,000 square feet of exhibition space as assigned. A qualified candidate must have a solid knowledge of, and experience in, hands-on aspects of museum registration work, including coordinating domestic and international artwork movements, and is expected to work both independently and as part of a team.

Requirements

  • Strong cultural competence, interpersonal communication, planning, and organizational skills.
  • An undergraduate degree in Museum Studies, Arts Administration, Art History, or a closely related program from an accredited college or university.
  • 2-4 years of collections management experience with a major museum, or equivalent combination of education and experience.
  • Thorough knowledge of current registration best practices and principles, including preventative maintenance of collections.
  • Must be organized and detail oriented.
  • Excellent organizational, written, verbal, interpersonal, research, and administrative skills.
  • Proficiency with Microsoft Office (Excel, Word, Outlook).
  • Experience arranging domestic and international fine art shipping.
  • Must be able to stand for long periods of time.
  • Ability to travel for extended periods of time.
  • General knowledge of 20th century art, art history, and artist’s materials relative to Glenstone’s collection.
  • Must possess a high-level professional conduct, discernment and confidentiality.

Responsibilities

  • Outgoing Loans Facilitate the loan request process by communicating with Registration, Conservation and the Senior Director of Collections.
  • Correspond, negotiate, and coordinate loan terms with borrowing institutions, including transportation, packing, courier requirements, facility reports, environmental controls, certificates of insurance, and more.
  • Oversee crating of artworks with outside vendors for outgoing loans and incoming acquisitions.
  • Courier shipments and oversee artwork movement and art handling at Glenstone and other venues for installation and deinstallation.
  • Permanent Collection Manage digital and analog file systems for collection records.
  • In conjunction with Registrar, plan and execute inventory projects for the permanent collection.
  • Assist Registrar and Head Preparator in managing artwork locations in Collective Access and updating physical location labels.
  • Arrange shipping for acquisitions to the collection.
  • Oversee unpacking and cataloging of acquisitions entering the collection and artworks returning from outgoing loan.
  • Manage and coordinate framing of permanent collection artworks and incoming loans, working directly with galleries, studios, and framing vendors to ensure specific conservation-approved requirements are communicated and adhered to.
  • Input data and create reports through Glenstone’s Collections Management System, Collective Access.
  • Assist the Conservation department with condition reporting of artworks.
  • Create packing and installation instructions as needed.
  • Generate and analyze collection metrics for use by Glenstone Leadership Team
  • Exhibitions Assist with preparing and executing incoming loan agreements
  • Support rotation of artworks in the permanent collection galleries.
  • As assigned, create and manage budgets for projects.
  • Approve, coordinate, and make travel arrangements for couriers as needed.
  • Communicate with Conservation department regarding artwork display and handling requirements, deadlines, and packing dates.
  • Administration Prepare department files for transfer to Glenstone Archives
  • Create training content and modules for Glenstone University.
  • Coordinate department scheduling while working closely with the Administrative Coordinator, Collections Division.
  • Represent Registration department on internal committees
  • Aid in the preparation of internal and external Registration department presentations.
  • Work with Registration interns when applicable.
  • Other duties as assigned.
