About The Position

The Assistant Registrar & Coordinator of Veterans Certifications/Compliance is primarily responsible for managing the certification of veterans’ educational benefits for each chapter and the compliance for those programs. Additionally, the processing of academic information for federal veteran tuition assistance programs falls under this position. The incumbent also participates in a variety of data management and recordkeeping duties in support of Registrar Office operations by applying policies and procedures in an organized and timely manner and engaging in problem solving and triage. Requires dependability, interpersonal skills, initiative, a strong work ethic, a meticulous attention to detail and a sharp technical aptitude. This 40-hour work week position is 100% time benefited. Exhibit discretion and maintain confidentiality in communicating sensitive information and in handling confidential materials.

Requirements

  • Bachelor’s degree and three years of experience or Associate’s degree and five years’ experience in dealing with a computerized student records system in an academic environment
  • Proven customer service experience
  • Advanced technology skills including MS Office, Internet, database management, and education software products and systems.
  • Thorough understanding of FERPA
  • Effective interpersonal and communication skills.
  • Training experience
  • Two years of experience in certifying veterans educational benefits, managing compliance, and VA-Once, GoArmyEd, and NH-SAA reporting requirements
  • Two years of experience in a registrar’s office with degree auditing, academic standing, and academic record keeping or the equivalent combination of higher education and experience totaling three years
  • A solid understanding of and the capacity to clearly communicate and explain policies and procedures
  • Capable of adhering to legal requirements and regulations and maintaining confidentiality
  • Experience with office duties requiring discretion, prioritization, research, and time-sensitivity
  • Ability to work independently and as part of a team in a high-volume, fast-paced environment
  • Self-motivated and committed to continuous improvement; takes responsibility for own work
  • Ability to establish and maintain successful working relationships with faculty, staff, students, and the public.

Nice To Haves

  • Experience with Workday and DegreeWorks and related communication applications, or equivalent
  • Experience with all levels of higher education including adult learners
  • Exposure to education software products such as Xtender, Navigate, Paradigm, Marketing Cloud, and National Student Clearinghouse.

Responsibilities

  • VA Certification and Compliance – coordinate certification and compliance for veterans educational benefits; responsible for all compliance surrounding certifying officials, student enrollment, training and university catalog; point person for NH State Approving Agency communications regarding veterans educational benefit certifying and compliance
  • Assist with outreach regarding enrollment and documentation, collecting enrollment documents, certifying and updating all certifications as needed
  • Oversee academic information processing for Military Tuition Assistance Program (TAP/GoArmyEd/ArmyIgnitEd) grade processing and academic processing
  • As part of the 3-person degree auditing team, process for all programs at all levels – pre-auditing/auditing and all related communications to and between students, faculty, advisors, and staff.
  • Process graduation applications
  • Scribe approved student requests into DegreeWorks
  • Scribe interdisciplinary contracts into DegreeWorks
  • Support Credits Left to Finish (CLTF) students in completing degree requirements.
  • Actively work the list of non-completers to support students in completing degree requirements
  • Participate in the daily maintenance of the psu-degree-info email account
  • Oversee all warning/probation/separation/severance processing – running the steps to identify standing, coding, notifications, appeals, and all related communications and follow-up.
  • Participate in the review, approval, and processing of student requests.
  • Process Individual Enrollment and Independent Study registrations
  • Process program and grade changes
  • Provide back-up assistance for the main phone line and walk-ins.
  • Participate in the daily maintenance of the psu-registrar email account.
  • Scan/Index documents on a daily basis
  • Provide support for DegreeWorks and catalog/curriculum
  • Represent the Registrar’s office on projects, task forces, and committees as assigned
  • Assist in the implementation of new projects and initiatives.
  • Collaborate with administrators, faculty, IT and student service colleagues to facilitate and improve services to students.
  • Participate in testing of Registrar’s Office software upgrades/implementations, generating reports and evaluating technical opportunities for improvements.
  • Assist in researching issues regarding compliance with government and other external regulations and assist with compliance as required.
  • During declared campus emergencies, this position may be required to perform specific job-related duties at a designated off campus location or place of residence
  • Communicate academic and student service-related matters, including specific policy information and/or developing policies and procedures.
  • Research and resolve routine issues; triage more complex as necessary.
  • Prioritize responsibilities to ensure time-sensitive needs are managed quickly.
  • Assist in researching issues regarding compliance with government and other external regulations and assist with compliance as required.
  • Run error reports and resolve issues to maintain data integrity
  • Participate in office-wide assignments to include new student pre-scheduling, scheduling/maintenance of Ascent students, cross-training and software testing, and events such as orientation, graduates day, commencement, and Panther Days.
  • Assist with training student assistants
  • Perform other duties and projects as assigned.
  • Maintain a neat and organized workstation
