About The Position

The Associate Registrar for Compliance is responsible for ensuring the integrity, security, and compliance of student records. This role focuses on preventing fraud, maintaining accurate records, and ensuring compliance with institutional, state, and federal regulations.

Requirements

  • Bachelor's degree and two (2) years of experience directly related to the duties and responsibilities specified, which includes one (1) year in a supervisory/management capacity.
  • Required to complete AACRAO federal compliance certification in first (6) months

Responsibilities

  • Compliance Management: Ensure compliance with FERPA, state, and federal regulations related to student records.
  • Develop, implement, and monitor policies and procedures to ensure the accuracy and integrity of student records.
  • Conduct regular student records and reporting systems audits to identify and rectify discrepancies or compliance issues.
  • Fraud Prevention: Analyze student records to detect and prevent fraudulent activities.
  • Triage and act as the point of contact for fraud incidents.
  • Review and respond to suspected fraudulent service requests and identify fraudulent transactions using various research methods.
  • Develop and implement fraud detection and prevention strategies.
  • Collaborate with IT and other departments to enhance system security and data integrity and appropriately log, track and report on suspicious activity.
  • Investigate and resolve suspected fraud cases in collaboration with legal and compliance teams.
  • Reporting and Documentation: Prepare and submit compliance, records management, and fraud prevention reports.
  • Maintain detailed documentation of compliance efforts and fraud investigations.
  • Provide training and support to staff on compliance and record-keeping best practices.
  • Work closely with the Registrar, academic departments, IT, legal, and compliance teams to ensure cohesive and effective management of student records.
  • Serve as a point of contact for internal and external audits and investigations.
  • Communicate effectively with students, faculty, and staff regarding records-related policies and procedures.
  • Supervises staff, which includes prioritizing and assigning work; conducting performance evaluations; ensuring staff is trained, follows policies and procedures; hires; and makes disciplinary recommendations.
  • Supports coordination and planning of operations, ensuring alignment with leadership directives.
  • Maintains currency with industry best practices.
  • Conducts continual review of office policy.
  • Researches and recommends solutions and processes regarding evolving requirements, mandates, and policy initiatives.
  • FERPA knowledge and expert understanding.
  • Provide training, development, coaching, and mentoring opportunities to staff.
  • Participates in committees and sub-teams for College and departmental initiatives.
  • Performs other related duties as assigned.
