About The Position

The Assistant Program Manager position reports to Program Manager - Transitional Work Programs and is accountable for providing administrative support and overseeing field supervisors/drivers. This role includes meeting regularly with field supervisors and drivers to address employee concerns and manage crew assignments. The Assistant Program Manager also ensures employees have access to transition workshops and other developmental opportunities offered by partner organizations. Additionally, this position plays a key role in delivering and expanding available resources for veterans, individuals who are formerly incarcerated and other disadvantaged, underserved and underrepresented clients eligible for the program.

  • Ability to find errors in detailed paperwork and efficiently work on administrative tasks
  • Able to use stong interpersonal skill when working with team members and giving instructions
  • Able to drive a passenger van and tow a 10-foot equipment trailer
  • High school diploma or equivalent
  • Background experience in an office setting, performing administrative tasks, or an equivalent combination of education and experience
  • Background experience in case management with diverse populations
  • Must wear provided PPE (Personal Protective Equipment) and adhere to all safety guidelines and requirements, when needed
  • Frequent talking and hearing conversations
  • Long periods of walking, sitting at a desk and/or computer station
  • Lifting items that weigh up to 25 lbs; reaching, bending, carrying and stooping within the daily routine of tasks and activities
  • Able to work outdoors in all weather conditions (hot, cold, light rain)
  • Possess a valid California driver's license with a good driving record to pass a MVR Motor Vehicle Report.
  • Must pass a CDCR Live Scan. This position is contingent upon approval of passing both requirements.

Responsibilities

  • Ensure work crews are adequately staffed to fulfill all duties and responsibilities outlined in the contract
  • Screen, hire and train new participants and provide ongoing training and development opportunities for participants
  • Collaborate with Caltrans on a daily basis to identify and schedule work assignments and locations
  • Assist the Program manager in daily oversight of Cal Crew Operations
  • Maintain regular communication with the Fleet manager to ensure proper care and maintenance of program equipment and resources
  • Ensure Cal Crew Leads conduct a daily Morning Safety tailgate
  • Ensure that the Cal Crew Leads conduct pre- and post-daily vehicle checklists daily.
  • Ensure that program vehicles receive regular and up to date maintenance, have current insurance policies, and valid registrations
  • Be available by cell phone during regular work hours to provide technical instructions and for emergencies
  • Consistently monitor Zuga (vehicle trackers) to ensure drivers are following proper driving procedures
  • Acquire employment job leads for participants, help with resume building and resources (e.g housing employment, anger management classes, legal)
  • Maintain detailed transition records and deliver monthly reports in accordance with program requirements
  • Support team with occasional changes of hours and duties in order to fulfill contractual obligations
  • When needed, assist Program Managers with a quarterly safety training
  • When needed, provide onboarding assistance
  • Transport Participants to and from work sites
  • Other duties as assigned
