About The Position

The Assistant Paralegal Manager is a critical leadership role responsible for the comprehensive oversight of all paralegal staff across every practice area of the firm. This position ensures operational excellence by supervising the work performance, attendance, and professional development of Paralegal Leads, Paralegals, and Legal Assistants. The ideal candidate is a seasoned professional capable of balancing high-level team management with the technical execution of senior-level paralegal responsibilities.

Requirements

  • Minimum of 7 years of paralegal experience in Texas.
  • Minimum of 5 years in a management or leadership role supervising legal staff.
  • Bachelor’s degree, Associate’s degree, or a Certificate in Paralegal Studies is required; a Juris Doctor (JD) is considered a plus.
  • Experience in one or more areas such as family law, estate planning, probate, or civil litigation.
  • Proficiency in Microsoft Office Suite, Google Workspace, and case management software (Clio preferred).
  • Strong conflict resolution skills, high attention to detail, and the ability to manage competing priorities in a fast-paced environment

Responsibilities

  • Assist with the management and support a team of paralegals and legal assistants across various practice areas, including family law, estate planning, probate, and civil litigation.
  • Supervise daily workflows, case assignments, and document production to ensure quality and timely legal support.
  • Directly oversee Paralegal Leads, providing individualized coaching and performance management.
  • Lead daily and weekly meetings to deliver department updates, trainings, policy reminders, and strategic goals.
  • This role will also serve as a paralegal to senior attorneys and handle paralegals duties as assigned; and will adhere to the billable hour requirements as outlined.
  • This role will handle other job duties as signed.
  • Approve and track all scheduling changes, including work-from-home requests, Paid Time Off (PTO), and attendance.
  • Manage timecards and ensure payroll readiness for all legal support staff on a biweekly basis.
  • Identify and implement process improvements and technology solutions to enhance team efficiency.
  • Serve as the primary escalation point for case-specific operational concerns or interdepartmental workflow issues.
  • Maintain and manage a Senior Attorney caseload in addition to management duties.
  • Draft and prepare complex legal documents, including pleadings, discovery, subpoenas, motions, and orders.
  • Organize and manage case files from initial intake through final resolution.
  • Assist attorneys with trial preparation, including exhibit organization, trial binders, and witness coordination.
  • Conduct legal research and provide summaries of findings to the legal team.
  • Investigate and draft responses to bar complaints, client grievances, and private lawsuits.
  • Review and approve check requests and manage credit card payments for legal expenses such as mediations and subpoenas.
  • Implement and uphold Standard Operating Procedures (SOPs) and firm compliance protocols.
  • Occasional flexibility is required for after-hours work or emergency case assignments.
