About The Position

Atkinson, Andelson, Loya, Ruud & Romo (AALRR) is a California-based AmLaw 200 law firm dedicated to providing legal services to both public and private organizations throughout the state. Established in 1979, with one office and five attorneys, AALRR has grown to more than 300 attorneys in ten offices throughout California. The Paralegal/Legal Assistant provides substantive legal support to attorneys in state and federal matters, including litigation, administrative proceedings, and due process cases. This role is responsible for drafting legal documents, coordinating filings and deadlines, preparing for hearings, and serving as a liaison with clients and agencies. The Paralegal/Legal Assistant exercises sound judgment, maintains strict confidentiality, and adheres to Firm policies and professional standards.

Requirements

  • High school diploma; bachelor’s degree strongly preferred.
  • Must meet the requirements of California Business & Professions Code § 6450.
  • 3-5 years recent paralegal experience in a law firm.
  • Prior litigation legal secretary experience.
  • Knowledge of e-discovery case management platforms.
  • Strong organizational skills with the ability to effectively prioritize and manage competing assignments for multiple attorneys in a fast-paced environment.
  • Proficiency with MS Office Suite (Word, Excel, PowerPoint).
  • Experience with document management systems (e.g., iManage).
  • Typing speed of at least 70 wpm.
  • Excellent written and verbal communication skills.
  • Ability to operate standard office and transcription equipment.
  • Reliable with strong attendance and punctuality.

Responsibilities

  • Support attorneys through all phases of litigation and administrative matters.
  • Draft, revise, and format legal documents, correspondence, memoranda, and emails from written and dictated sources.
  • Assemble and organize documents and exhibits for filings, hearings, arbitrations, mediations, depositions, and other proceedings.
  • Proofread materials to ensure accuracy, proper formatting, and compliance with Firm standards.
  • Read, sort, and print incoming mail and e-mails, including distribution as appropriate.
  • Schedule appointments and meetings for attorneys.
  • Manage and maintain calendar for deadlines; ensure important dates are recorded on the master calendar.
  • Maintain client and case files, including student records.
  • Manage and assist attorneys with document production; prepare and review case files.
  • Draft basic pleadings and declarations; assist with filing pleadings with OAH, PERB, EEOC, and courts.
  • Arrange attorney travel, including accommodations and transportation.
  • Assist with preparation of marketing materials, including pitch materials, attorney biographies, and PowerPoint presentations.
  • Perform additional duties as assigned to support business needs.
