About The Position

Dogwood Village of Orange County Virginia is seeking an Assistant Administrator. The Assistant Nursing Home Administrator supports the Nursing Home Administrator in the overall leadership and daily operations of the facility while ensuring full compliance with all applicable federal, state, and local regulations. This role is also responsible for planning, developing, and overseeing the facility’s Compliance Program, promoting ethical business practices, and supporting quality care initiatives. The position operates under general supervision with significant independent judgment and accountability.

Requirements

  • A Bachelor’s degree in Healthcare Administration, Nursing, Business Administration, or a related field.
  • Active Licensed Nursing Home Administrator (LNHA) license in the state of Virginia.
  • 1+ years of previous experience in a skilled nursing facility or long-term care setting required as an Assistant Nursing Home Administrator or Administrator of record.
  • Strong knowledge of state and federal regulations.
  • Excellent leadership, organizational, and communication skills.
  • Ability to multi-task and work collaboratively with interdisciplinary teams.

Responsibilities

  • Assist in managing the day-to-day operations of the facility to ensure high-quality resident care and efficient service delivery.
  • Support recruitment, hiring, onboarding, and training of qualified personnel.
  • Participate in staff development programs, including in-service education and orientation.
  • Assist in developing and maintaining financial systems, including accounting and cost tracking.
  • Contribute to preparation and oversight of the annual operating budget.
  • Assist in ensuring timely submission of financial and regulatory reports.
  • Support procurement and purchasing processes as approved.
  • Prepare reports and recommendations regarding facility operations.
  • Assume full operational responsibility in the absence of the Nursing Home Administrator.
  • Assist with staffing decisions, performance evaluations, and personnel actions.
  • Provide support to the Administrator as needed or requested.
  • Plan, develop, organize, and oversee the facility-wide Compliance Program.
  • Ensure facility operations comply with all federal, state, and local laws, regulations, and ethical standards.
  • Develop, review, and update compliance-related policies and procedures.
  • Establish and maintain systems to monitor regulatory compliance and ethical practices.
  • Communicate compliance expectations and updates to all staff.
  • Develop and maintain a confidential reporting system for compliance concerns.
  • Investigate reports of suspected violations and ensure appropriate follow-up.
  • Maintain comprehensive documentation of compliance activities and program operations
  • Report regularly (at least annually) to the governing body on compliance program effectiveness.
  • Collaborate with leadership, legal counsel, and external consultants to develop and implement a Code of Conduct.
  • Ensure appropriate corrective actions are taken in response to compliance violations.
  • Oversee general education programming for the facility, including Dogwood Village.
  • Plan, develop, and implement employee orientation programs.
  • Ensure all staff understand their responsibilities related to compliance, safety, and operations.
  • Develop and monitor ongoing staff education and training programs.
  • Maintain records of all training, orientation, and compliance-related education.
  • Enforce training requirements and address non-compliance.
  • Develop and oversee the facility’s Safety Program, including policies, procedures, and training.
  • Participate in Safety Committee activities as applicable.
  • Ensure systems are in place to monitor and improve Quality of Care.
  • Ensure residents receive services that promote the highest practicable physical and psychosocial well-being.
  • Establish and monitor systems to protect Resident Rights, dignity, and autonomy.
  • Ensure all staff are trained and compliant with Resident Rights requirements.
  • Maintain strict confidentiality and promote respectful, person-centered care.
  • Develop and monitor audit systems for financial operations, including: Accounts Receivable Accounts Payable General Ledger Payroll
  • Ensure compliance with generally accepted accounting principles and all regulatory requirements.
  • Identify and mitigate risks related to fraud, waste, and abuse.
  • Oversee auditing of purchasing processes, contracts, and vendor relationships, including: Independent contractors and consultants Healthcare providers and agencies Medical and facility supplies Employee benefit programs Equipment and physical plant resources
  • Lead the implementation and continuous improvement of Compliance, Orientation, Education, and Safety Programs.
  • Investigate and resolve compliance concerns and violations.
  • Support department leaders in maintaining regulatory compliance.
  • Ensure accurate documentation and reporting systems are maintained.
  • Promote an organizational culture of ethics, accountability, and continuous improvement.
  • Assist with planning and delivering compliance-related training and in-service programs.
  • Maintain professional competency through continuing education and training.
  • Coordinate employee and vendor screening processes with appropriate departments.
  • Complete all required annual training.
  • Perform other related duties as assigned.
