About The Position

The Assistant Marketing Coordinator will provide entry-level support to the Marketing Director and Marketing Coordinator in carrying out day-to-day marketing, communication, and business development activities. This part-time internship-level role will focus on administrative support, content gathering, basic design tasks, digital updates, and assisting with proposals and events. The position is ideal for a student or early-career individual interested in gaining hands-on experience in AEC marketing, proposal development, and professional services communications.

Requirements

  • Current student or recent graduate in Marketing, Communications, Journalism, Business, Graphic Design, or related field.
  • Strong writing, editing, and communication skills.
  • Basic proficiency in MS Office; familiarity with Canva, Publisher, or Affinity is required
  • Comfortable using social media platforms and basic content management tools.
  • Ability to stay organized, manage multiple tasks, and meet deadlines.

Responsibilities

  • Assist in updating marketing collateral such as project sheets, resumes, brochures, and presentations under the direction of the Marketing Coordinator.
  • Help maintain digital content, including website edits, social media scheduling, and tracking analytics.
  • Support branding efforts by ensuring correct logos, templates, and formatting are used in all materials.
  • Help organize and track marketing assets such as photos, past proposals, and design files.
  • Assist in assembling sections of proposals and SOQs, including formatting, proofreading, and collecting project information.
  • Maintain and update proposal templates, resumes, and boilerplate content.
  • Support research efforts on upcoming opportunities, competitors, and potential clients.
  • Enter and update client/project information in CRM or tracking systems.
  • Assist with materials preparation for meetings, conferences, and networking events.
  • Help coordinate logistics for conferences, trade shows, and industry events.
  • Work with technical staff to gather project details, images, and updates needed for marketing materials.
  • Support tracking of internal marketing requests, deadlines, and task lists.
  • Help maintain the internal library of project profiles, resumes, and images.
  • Provide administrative support for the Marketing Director, including scheduling assistance, meeting prep, and file organization.
  • Assist in monitoring industry trends, competitor activities, and market updates relevant to marketing and BD initiatives.
  • Participate in team meetings, brainstorming sessions, and cross-department coordination as needed.
