About The Position

ArtCenter College of Design is searching for an experienced Assistant Manager – Building Services to join our team. Founded in 1930 and located in Pasadena, California, ArtCenter College of Design is a global leader in art and design education and has had an international reputation for its rigorous, transdisciplinary curriculum, faculty of professionals, strong ties to industry, and commitment to socially responsible design. Reporting to the Director of Facilities the Assistant Manager will manage and supervise the building services staff to ensure the campus facilities are clean, safe, and well maintained. This role will assist with staff supervision, training, scheduling, quality control and compliance with ArtCenter’s policies, and safety standards. This position is an onsite, full-time position. Normal business hours are Monday through Friday, 8:30 a.m. to 4:30 p.m. The demands of this work may include weekends or evenings. The college reserves the right to modify schedules as needed to meet the business needs with appropriate notice.

Requirements

  • Highschool diploma, associate’s degree or equivalent experience and education
  • 3-5 years of experience in custodial, building services, or facilities experience, including lead and/or supervisory responsibilities or equivalent experience and education
  • Valid California Driver License
  • Ability to read, write and understand the English language to be able to interact effectively with staff, faculty and vendors
  • Well versed in custodial methods, equipment, and safety practices
  • Experience coordinating custodial support for campus events and space setups
  • Proficient with Microsoft Suite, Facilities Maintenance Software and able to produce related reports and staff evaluations.
  • Ability to prioritize multiple tasks and meet deadlines
  • Excellent interpersonal skills to work effectively in a multi-ethnic and multi-cultural environment, with all levels of faculty and staff, outside professionals and other vendors
  • Ability to supervise, train and motivate staff
  • Demonstrated experience in cultivating an inclusive, respectful, and welcoming environment into workplace practices within ArtCenter’s diverse communities
  • Ability to handle all information with tact and discretion and recognizes the confidential nature of ArtCenter business
  • Ability to work occasional weekends and evenings
  • Ability to travel between campuses
  • Must be willing to obtain the Trauma Scene Waste Management Practitioner License

Responsibilities

  • Oversee hiring, orientation, training and supervision of department staff; oversee performance evaluation process, ensuring consistent use of all applicable policies and procedures; apply performance management for improved performance, make recommendations in discipline and terminations, as required.
  • Manage staff scheduling, timekeeping, and coverage for absences and coordinates staff to support special events including space setup and breakdown
  • Prepares reports and inputs data related to the Facilities budget and expenditures. This includes placing orders for supplies/equipment tracking incoming invoices and posting same with Shipping and Receiving.
  • Comply and ensure that safety and dress codes are carried out in accordance with department policies, including wearing assigned PPE
  • Assign daily work, monitor performance, and ensure completion of custodial and building service tasks
  • Conduct routine inspections of buildings to ensure cleanliness, safety, and quality standards are met
  • Recommend cleaning improvements and best practices
  • Respond to email, phone call, radio calls and in-person requests for cleaning and space setups and breakdown throughout the ArtCenter community
  • Ensure proper use of custodial equipment, supplies and chemicals in accordance with safety standards and ArtCenter’s guidelines. Maintain inventory of supplies and equipment.
  • Ensure compliance with budgetary constraints and assist Director with planning of facility improvements.
  • Manage, retain and organize all related facilities files and documents in the department’s shared drive.
  • Support covering out-of-office staff by executing daily cleaning of buildings, including floors, restrooms, offices, classrooms and common areas and space set-up and breakdown
  • Other duties as assigned
