As an Assistant Facilities Manager, your primary responsibility is to ensure the efficient operation and maintenance of the facilities within your organization. Your duties may include: Coordinating Maintenance: You will oversee and schedule regular maintenance tasks, repairs, and inspections across all facilities, ensuring that they adhere to industry standards and safety regulations. Managing Service Providers: You will engage with external service providers, such as contractors and vendors, to coordinate required services, obtain quotes, and ensure timely completion of work. Budgeting and Expense Tracking: You will assist in the development and management of the facilities budget, tracking expenses, and assessing cost-saving opportunities. Space Planning and Allocation: You will collaborate with various stakeholders to plan and allocate office space, ensuring optimal utilization and effective layout design. Health and Safety Compliance: You will ensure compliance with health and safety regulations, conducting regular inspections, maintaining documentation, and addressing any identified hazards. Vendor Management: You will maintain relationships with vendors and suppliers, ensuring timely delivery of goods and services and monitoring their performance to ensure quality. Tenant and Stakeholder Communication: You will serve as a primary contact point for tenants and stakeholders, addressing their requests, resolving issues, and providing excellent customer service. Emergency Preparedness: You will develop and implement emergency response plans, conducting drills, and ensuring that appropriate safety measures are in place. Sustainability Initiatives: You will support and promote sustainability initiatives within the facilities, such as energy efficiency programs and waste reduction strategies. Records and Documentation: You will maintain accurate records and documentation related to facility operations, including maintenance schedules, contracts, and service agreements.

Requirements

  • 4+ years experience in facilities coordination or similar administrative role
  • Strong organizational and communication skills with the ability to multitask and prioritize effectively
  • Proficiency in using computer systems and office software
  • Detail-oriented with a focus on providing exceptional customer service
  • Ability to work both independently and collaboratively in a team environment
  • Bachelor's degree in engineering, facilities management, construction management, business administration, or equivalent work experience
