About The Position

The Assistant Director of Residential Services plays a key role in supporting the effective operation, quality, and compliance of Pillar Care Continuum’s Residential Programs. This position provides comprehensive administrative and operational support to the Director of Residential Services and offers direct assistance to Group Home Managers with correspondence, documentation, project coordination, and monitoring the quality and appropriateness of services. The Assistant Director also ensures appropriate staffing coverage across assigned homes, participates in the on‑call rotation, and responds to operational needs as they arise. This role requires close collaboration with internal departments and active cooperation with the Office of Licensing, the Division of Developmental Disabilities, and the Department of Human Services during inspections, reviews, and formal investigations, helping to uphold PCC’s commitment to safety, regulatory compliance, and excellence in service delivery.

Requirements

  • Bachelor’s degree in Social Work, Special Education, Psychology, or a related field preferred, with at least three years of progressive administrative experience or an equivalent combination of education and experience. A minimum of five years of managerial experience working with individuals with developmental disabilities (DD) is required.
  • Demonstrated proficiency in computer applications, including word processing and spreadsheet functions, along with strong knowledge of administrative office procedures and basic bookkeeping practices. Must exhibit exceptional attention to detail, strong organizational skills, and the ability to prioritize and manage complex workflows while meeting deadlines.
  • Excellent verbal and written communication skills, effective time‑management abilities, and the capacity to build and maintain collaborative partnerships with diverse stakeholders.
  • Experience analyzing, interpreting, and communicating policies required.
  • Proven ability to supervise and support a diverse team, ensuring accountability, quality output, and adherence to timelines.
  • Requires the ability to work independently with minimal direction, exercise sound judgment, and demonstrate effective problem‑solving skills. Must be able to maintain, secure, and retrieve confidential information in accordance with agency standards and regulatory requirements.
  • Ability to travel to various locations as needed and to establish and maintain effective working relationships at all organizational levels and with external partners.

Responsibilities

  • Leads preparation and management of departmental documents, including reports, correspondence, contracts, and agency notices, while maintaining organized and compliant filing systems.
  • Manages the resident referral and intake process, including packet reviews, interviews, applicant screenings, information gathering, and preparation of support summaries. Oversees smooth, person‑centered transitions into residential programs.
  • Oversees Essex Properties financial processes, including payment recording, HUD rent rolls, database maintenance, and monthly tenant communications.
  • Administers key financial and compliance functions such as check requests, purchase orders, DDD attendance reporting, incident submissions, monthly documentation, and annual IHPs.
  • Supports regulatory readiness through safety inspections, Q&A reviews, corrective action development, and preparation of licensing documentation and Plans of Correction.
  • Coordinates daily operational needs, including supply ordering, purchasing activities, meeting materials, and departmental communications.
  • Maintains accurate, confidential departmental records and filing systems for the Director of Residential Services.
  • Provides administrative and operational leadership through project management, support of departmental initiatives, and completion of delegated responsibilities.
