About The Position

The Assistant Director of Residential Experience for the Vanderbilt University — New York City campus manages the residential community and operations. The Assistant Director oversees day-to-day student support, residential operations, and community-building initiatives that promote belonging, wellness, and engagement among undergraduate study-away students. This role supervises the Residential Experience Coordinator and ensures that residential facilities, occupancy processes, and engagement efforts are delivered at a high standard. The Assistant Director reports to the Director Student Affairs for the Vanderbilt University — New York City campus. This is a 12-month live-in position with flexible working hours based on the needs of the residence hall community. This position is a full-time, exempt, fully benefits eligible role.

Requirements

  • Bachelor's degree required; Master's degree in Higher Education, Counseling, Social Work, or Student Affairs strongly preferred.
  • 3—5 years of experience in residential education, student support, or student affairs is required.

  • Strong supervisory skills and experience supporting paraprofessional or professional staff is preferred.

Responsibilities

  • Oversee residential operations including semester transitions, move-in/move-out, and residential processes.
  • Coordinate with facilities and housing partners to address health, safety, and maintenance concerns.
  • Oversee room turnover, key management, damage billing processes, and building opening and closing.
  • Ensure the Residential Experience Coordinator maintains accurate operational records and communicates proactively with students and Vanderbilt University — NYC campus partners.
  • Serve as the residential staff liaison for facilities and administrative partners.
  • Create and implement a community development strategy that fosters belonging, inclusion, and holistic learning for NYC study-away students.
  • Train and supervise the Residential Experience Coordinator in supporting students of concern, mediating conflicts, engaging proactively with residents, and implementing meaningful touchpoints.
  • Support Residential Experience Coordinator in providing residential engagement opportunities.
  • Collaborate with the Director of Student Affairs and the Senior Associate Provost on campuswide programming and experiential learning.
  • Serve as a contact for residential student concerns, triage, and initial follow-up, ensuring appropriate documentation and timely referrals.
  • Maintain close partnership with the Director of Student Affairs—particularly during on-call coverage—to coordinate escalation to Nashville-based offices (Title IX, Student Care Network, Accountability, Equal Opportunity and Access, Project Safe, etc.).
  • Participate in the on-call rotation as a residential-level responder, coordinate with Director of Student Affairs and Vanderbilt University Public Safety during emergencies.
  • Ensure the Residential Experience Coordinator conducts consistent student follow-up, documentation, and outreach related to wellness and safety.
  • Utilize Maxient, Roompact, or program equivalent systems to maintain high-quality case documentation.
  • Support daily operational needs, including communication, logistics, event execution, and student-facing service coordination.
  • Assess efforts related to residential experience and facilities; prepare recommendations for continuous improvement.
  • Serve as the super user for the residential software, managing room changes, and ensuring data consistency with Housing and Residential Experience in Nashville.
  • Ensure key reconciliation, re-keying, billing, room inspections, damage billing, etc. are done quickly and accurately at the close of each period of occupancy.
  • Maintain oversight of residential programmatic budget and ensure responsible stewardship of university resources.
  • Serve as a liaison to housing partners, facilities teams, and local service providers connected to residential operations.
  • Collaborate closely with the Director of Student Affairs to ensure student referrals, care processes, behavioral concerns, and emergency responses are consistent and aligned.
  • Maintain relationships with Vanderbilt faculty, academic units, and Student Affairs partners to support a seamless student experience.
  • Support (but do not lead) campus-wide protocols, orientations, or graduate/professional student services.
  • Directly supervise the Residential Experience Coordinator, including performance management, training, coaching, and professional growth.
  • Provide oversight for student employees or interns engaged in residential or community programming, if any.
  • Collaborate with the Director of Student Affairs on shared on-call coordination and policies affecting residential environments.
