The Assistant Director of Facilities supports the Director of Facilities in planning, directing, and overseeing all building operations, maintenance, and facilities-related services. This role helps ensure that facilities are safe, efficient, compliant, and aligned with organizational goals. The Assistant Director serves as a leader within the department, coordinating projects, and helping drive strategic facility initiatives. This role includes administrative, clerical, operation, IT, HR, billing, maintenance, or facility roles with no patient-facing duties

Requirements

  • Knowledge of building systems and maintenance practices.
  • Ability to manage multiple projects and prioritize in a fast‑paced environment.
  • Proficiency, Microsoft Office, and facilities technologies.
  • Excellent communication, leadership, and problem‑solving skills.

Responsibilities

  • Facilities Operations & Maintenance Supports Director of Facilities, Regional Facility Managers & Facilities Managers and other divisions on daily basis
  • Supports facilities teams, including maintenance technicians, custodial staff, kitchen staff and contractors.
  • Provides training as needed
  • Support recruitment, scheduling, and workforce planning.
  • Monitor work order systems to ensure efficiency, accuracy, and service quality.
  • Monitors GPS System to ensure efficiency, accuracy, and service quality
  • Manages Vehicle Fleets
  • Manages Evacuation plans
  • Identify opportunities for improvement.
  • Assist in planning and executing capital improvement projects, renovations, and infrastructure upgrades.
  • Coordinate with contractors, architects, engineers, and vendors.
  • Monitor project timelines, budgets, and compliance with specifications.
  • Assist the Director in developing and managing facilities budgets.
  • Monitor purchasing, vendor contracts, and service agreements.
  • Review invoices, proposals, and cost estimates to ensure financial stewardship.
  • Support safety programs, emergency preparedness, and incident response.
  • Conduct routine inspections and audits to identify hazards or deficiencies.
  • Contribute to the planning of space usage, office configurations, and departmental moves.
  • Maintain as‑built documentation, drawings, equipment records, and asset inventories.
  • Serve as a key point of contact for building occupants regarding facility issues.
  • Communicate effectively with internal teams, leadership, and external partners.
  • Resolve concerns promptly while maintaining positive relationships.
