About The Position

The Assistant Director of Benefits is responsible for the overall strategy, design, and management of benefits, wellness, and leave administration. This is a highly visible role responsible for maintaining an open-door policy and responding to all Team Member benefits-related inquiries, including but not limited to insurance enrollment assistance, benefits education, accommodation/leave requests, and Team Member parking inquiries. This role plays a critical part in creating a positive and healthy work environment, ultimately leading to increased Team Member satisfaction, engagement, and productivity. This individual will develop strategies, manage vendor relationships, and serve as a subject-matter expert to ensure high levels of performance, compliance, cost-effectiveness, and education of our total rewards offerings. This role partners with key stakeholders and cross-functional teams, such as Finance, Payroll, and Legal, to deliver a comprehensive benefits package.

Requirements

  • A combination of four years of relevant education and experience; bachelor’s degree in human resources or related field preferred but not required.
  • 3+ years of Team Member health and welfare and/or retirement plan experience, hotel preferred.
  • Strong knowledge of FMLA, ADA, PWFA, and USERRA required
  • Ability to work in a fast-paced and high-volume environment while meeting strict regulatory and Company deadlines.
  • Ability to communicate effectively and professionally verbally and in writing.
  • Ability to process and handle confidential information with discretion.
  • Ability to handle a high volume of leave requests with effective time management & communication skills.
  • Must be skilled in completing assignments accurately and with attention to detail.
  • Must have experience with HRIS systems, preferably with Paycom or UKG.
  • Proficiency in Excel, Word, and PowerPoint required.

Responsibilities

  • Oversee administration of leave and accommodation requests related to FMLA, PLOA, PWFA, USERRA, and ADA in accordance with Fontainebleau's policies and all related statutes and regulations.
  • Key responsibilities include, but are not limited to, responding to accommodation and leave requests and related policies; maintaining proactive lines of communication; and preparing and maintaining leave records, documents, files, and reports.
  • Maintains an effective tracking system for all requests and provides ongoing case management for all requests, including requesting clarification, return to work clearance, and insurance premium payments.
  • Enters and updates leaves of absence in HRIS and spreadsheets, including compiling, copying, sorting, filing, scanning and faxing documents for each case.
  • Develop and generate monthly reports to measure and analyze utilization and other trends.
  • Serve as the primary liaison between the leave administrator, Team Members, and Leaders.
  • Provides regular updates to department leadership and advises management of any escalated issues that may arise during the leave administration process.
  • Facilitates trainings related to accommodation and leave requests.
  • Conducts new hire benefit orientation trainings.
  • Monitors vendor performance and escalates issues as needed.
  • Assists in vendor evaluation.
  • Conducts internal audits to ensure accuracy of data.
  • Understands and interprets applicable benefit regulations, including ERISA, PPACA, COBRA, and HIPAA.
  • Keeps current regarding legislative changes and ensures plans remain compliant.
  • Assists with the timely completion and submission of required governmental and organizational reports and filings.
  • Responsible for ACA Administration, including monthly, mid-year, and annual hours audits for non-union Team Members and finalizing 1095C forms.
  • Understands and ensures administration of Union benefits in accordance with CBA, including quarterly hours audits.
  • Assists with annual open enrollment process, including plan implementation, HRIS/systems testing, and communications.
  • Participates in Team Member enrollment meetings throughout the year.
  • Responsible for post-Open Enrollment data verifications and reconciliation.
  • Assists in the reconciliation of monthly carrier invoices for all insurances.
  • Resolves discrepancy issues with carrier representatives.
  • Ensures approved wire transfer forms and supporting documentation are submitted to Finance monthly to ensure timely payment.
  • Complete Weekly Claims funding for self-insured medical benefits.
  • Assists with the Company's 401(k) plan as needed, coordinates enrollment campaigns, and partners with Finance on the annual 401(k) audit.
  • Coordinate monthly on-site wellness initiatives and campaigns to promote awareness of benefit offerings.
  • Assists with administering FitForBleau wellness program to include coordination with vendors/brokers, and communication to the Team Members, and any other total rewards initiatives, including tuition reimbursement.
  • Oversee parking benefits for all Team Members – facilitate access, initiate enrollments/cancellations, manage waitlists, and process payments to the City of Miami Beach.
  • Responsible for maintaining Team Member benefit files, including dependent verifications, domestic partner affidavits, qualifying event information, and beneficiary information.
