About The Position

Our Administrative Assistant is the first point of contact for all visitors providing administrative support to the Wrightstown facility. This is a part-time, job share position working approximately 20 hours per week. Schedule must be flexible to work varied full days during the week.

Requirements

  • High School Diploma or Equivalent (GED) Required.
  • Administrative studies and/or two years of administrative work.
  • Intermediate to advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Operational knowledge of basic office equipment such as copiers, scanners, fax machines, telephones, etc.
  • Maintains strict confidentiality and protects privacy of confidential/sensitive information.
  • Exceptional time management and organizational skills. Ability to manage multiple tasks and projects simultaneously establishing priorities to meet deadlines.
  • Highly skilled in greeting guests in a courteous and professional way. Excellent interpersonal skills.
  • Demonstrated ability to answer inquiries of visitors and direct them to the right person.
  • Ability to communicate effectively (verbal, written, and presentational) with executive leadership, staff, and internal and external clients.
  • Proactive; exercises sound judgment and decision making; able to identify problems and needs and develop solutions and/or options.
  • Self-confident, self-motivated polished professional who thrives in a challenging, fast-paced environment.

Responsibilities

  • Initial contact / liaison for community and other visitors.
  • Prepare presentations and update visual and digital communication boards with announcements.
  • Assure conference rooms are stocked with necessary supplies to include beverages.
  • Track incentives and company apparel.
  • Assist EHS, HR and Quality with administrative duties such as fob system, mailboxes, lunch orders, vending system, office supplies, etc. Update training logs.
  • Update internal company directory and the employee photo boards.
  • Assist with set up and coordination of summer events, special activities, company business meetings, employee engagement events, etc.
  • Assist with office projects to include copies of correspondence or other printed materials and distribute communications.
  • Demonstrates appropriate professionalism and confidentiality in all dealings with coworkers, customers, and suppliers.
  • Send cards and letters.
  • All other duties as assigned.
