About The Position

The incumbent serves as a primary administrative staff member responsible for Community Assignments for a specific portion of the GFH housing community. The incumbent will oversee front desk and independently troubleshoot concerns, challenges, inquiries. The incumbent will organize and manage the assignment process for a graduate and family student housing population of approximately 4300; process all room changes and contract cancellations; and maintain a high level of service through the utilization of different software platforms. This position includes heavy client relations with a diverse group of students, campus partners and external constituents and will analyze service trends and requests, making recommendations for process improvements and new equipment as needed. Other duties include maintaining office supply inventory, check-in/out of keys, coordination of services from the public facilities, answering phones, and completing special projects/assignments as needed.

Requirements

  • Ability to interact positively and communicate effectively with a diverse group of students, faculty, staff, and visitors to campus.
  • Skills to compose memos, letters, reports, and presentations using standard business formats.
  • Experience managing multiple projects at one time.
  • Demonstrate experience developing, using and maintaining office procedures.
  • Ability to maintain confidentiality of records and information.
  • Skill in working as part of a team and collaborating closely with co-workers on a variety of interdependent functions.
  • Proficiency in analysis tools, models, and methods.
  • Ability to learn new software programs.
  • Skills to maintain organized electronic and hard copy files.
  • Knowledge of PC hardware and computer peripherals. Skill to troubleshoot system problems. Skill to install and upgrade software. Willingness to learn new applications and systems.
  • Proficiency in Microsoft Office, particularly Microsoft Excel and Outlook.
  • Ability to identify areas for process improvement and make recommendations to improve efficiency and/or service level.
  • Personal skills to maintain diplomacy, confidentiality and professional conduct.
  • Demonstrated ability to independently complete detailed tasks and manage projects.
  • High school diploma or equivalent experience
  • 2-3 years office administration experience.

Nice To Haves

  • Bilingual oral and written communication skills (English and Spanish, Chinese, Korean or Vietnamese).
  • Demonstrate experience in using Adobe Acrobat, Illustrator, Photoshop and/or similar software.
  • Knowledge of Student Housing, university and community resources, systems and services. Knowledge of University policies and procedures.
