About The Position

The Asset & Operations Support Specialist supports ARTISAN’s Asset Management team, Property Management Team, Legal, and Executive Leadership by organizing information, ensuring a ccurate reporting , and advanc ing operation al tasks . This role balances administrative support, reporting coordination, and project a ssistance while working closely with internal teams and external partners, including lenders, investors, and vendors. This position requires someone who can shift gears easily by moving between tasks, priorities, and teams throughout the day. The Asset & Operations Support Specialist manages sensitive information with professionalism, supports compliance and reporting requirements, and helps bring structure to a fast-moving, collaborative environment where no two days look the same.

Requirements

  • High school diploma or equivalent required; college coursework or a degree in business, finance, real estate, or a related field preferred but not required
  • 2–5 years of administrative, office support, coordination, or internship experience
  • Strong proficiency with Microsoft Office, Excel spreadsheets, reports, shared drives, and document management systems
  • Ability to follow instructions, prioritize tasks effectively, and ask questions when clarification is needed.

Responsibilities

  • Oversee legal document execution, including DocuSign processing of closing documents, service and management agreements, contracts, and other assigned materials, ensuring accuracy, compliance, and timely completion.
  • Support the Asset Management team in weekly, quarterly reporting as well as annual business plan and budget execution by gathering and organizing data, preparing supporting documentation, assisting with proforma development, and supporting contract execution.
  • Prepare, compile, and distribute internal and external financial and operational reports; collect and organize data from property management teams; track lender reporting deadlines; and assist with routine lender and investor information requests.
  • Assist with acquisition activities from start to finish, including due diligence walks, lease audits, property management interviews, and the collection of required information for Asset Management and Property Management teams.
  • Prepare and update spreadsheets, reports, presentations, and operational documents for leadership review using Adobe, Word, Excel, DocuSign, Copilot, and property management software.
  • Coordinate and track projects by monitoring deadlines, following up on deliverables, and maintaining organized documentation to support asset performance and leadership initiatives.
  • Provide administrative and operational support to the Asset Management team, ARTISAN leadership, and management departments, including office management, special projects, and cross-functional initiatives.
  • Maintain accurate, well-organized records and files in accordance with ARTISAN standards, procedures, and document retention practices.
  • Respond to routine inquiries, manage email correspondence, and answer phones in a timely and professional manner while handling confidential and sensitive information with discretion and professionalism.
  • Perform all duties in accordance with ARTISAN policies and procedures, including compliance with Fair Housing regulations, the Americans with Disabilities Act (ADA), the Fair Credit Reporting Act (FCRA), and all applicable federal and state laws.
  • Complete other administrative and support duties as assigned.
