About The Position

Under moderate supervision, the ARD Scheduler will organize and manage Special Programs files, handle ARD scheduling, and provide comprehensive clerical support to a department director or department head and other staff members. This role is crucial for maintaining efficient operations within the Special Programs department.

Requirements

  • High school diploma or GED
  • Proficient skills in keyboarding, data entry, word processing, and electronic file maintenance
  • Ability to use software to develop spreadsheets and databases and do word processing
  • Ability to prioritize workflow to address the multiple needs of the supervisor or the department
  • Ability to multi-task numerous complex administrative activities
  • Basic math skills
  • Effective communication and interpersonal skills
  • 2 years secretarial experience

Responsibilities

  • Prepare correspondence, forms and reports for the department head and other department staff
  • Compile, maintain, and file all reports, records, and other documents electronically
  • Compile and crosscheck reports in Infinite Campus, X-LOGS and Frontline
  • Maintain inventory of office supplies and program
  • Schedule or assist with ARD meetings and notify parents of ARD meetings, including distribution of ARD calendar to appropriate ARD member(s)
  • Answer and respond to incoming calls, take reliable messages, and route to appropriate staff
  • Maintain the ARD schedule for all campuses including, but not limited to, initial or rescheduled ARD meetings or other meetings
  • Make meeting arrangements for department activities including preparing materials, scheduling and setting up facilities, and arranging equipment (as needed)
  • Receive, sort, and distribute mail and other documents to department
  • Maintain confidentiality
  • Follow district safety protocols and emergency procedures
  • Send parent surveys after meetings
  • Review and crosscheck ARD documents
