About The Position

This position is responsible for all payroll-related activities, ensuring pay is processed on time, accurately, and in compliance with government regulations. This includes, but is not limited to, computing and disbursing wages, deductions, taxes, and other withholdings, posting payroll data, preparing reports and/or payments to government agencies and insurance companies, testing and updating payroll system, and assisting employees with payroll related questions. Work Schedule: Monday through Friday; flexibility in schedule is required.

Requirements

  • Associate Degree in Accounting or related field
  • Four to five years of practical payroll and tax work experience in a large, complex organization
  • Advanced skills in Microsoft Excel and Word

Nice To Haves

  • Demonstrated experience working with Workday Payroll related modules is preferred
  • FPC or CPP certification preferred

Responsibilities

  • Payroll Processing & Administration
  • Prepare payrolls for all employees.
  • Receive, review, and analyze accuracy of all payroll data.
  • Develop and maintain a variety of payroll spreadsheets and reports for analysis, reconciliation, and informational purposes.
  • Complete all stages of payroll processing using Human Resource, Finance, and Student systems.
  • Review the results of each process for accuracy, troubleshoot any errors, and make corrections to allow for successful timely completion of each payroll.
  • Setup payroll deductions and wage assignments in system.
  • Research, troubleshoot, and correct payroll related problems.
  • Prepare and process required adjustments in system.
  • Tax Compliance & Regulatory Reporting
  • Apply federal, multi-state and local tax rules to payroll operations to ensure regulatory compliance.
  • Prepare, send, and audit federal, state and local taxes on a per payday, quarterly, and year-end basis with Third Party Tax Administrator.
  • Annually prepare and distribute W-2 forms and all related reports.
  • Process Unemployment Insurance inquiries.
  • Wisconsin Retirement System (WRS) Administration
  • Maintain Wisconsin Retirement System (WRS) data for each employee ensuring that the district is complying with WRS guidelines. This includes the eligibility determination, disbursement of funds, and prepare monthly and annual reports.
  • Reconciliation & Financial Coordination
  • Reconcile benefit charges, payroll-related general ledger, and WRS.
  • Create journals as needed.
  • Collaborate with Finance and support Workday Finance for payroll related transactions.
  • Systems Administration & Functional Leadership
  • Functional leader for Workday Payroll, Time Tracking, Activity Pay, and Absence.
  • Configure, audit, review, and test payroll and time tracking portions of the system.
  • Test Third Party Administrator’s Quarterly Interface updates.
  • Research opportunities to improve processes and system.
  • Activity Pay Administration & Faculty Support
  • Maintain comprehensive knowledge of Activity Pay system.
  • Assist faculty in understanding the Activity Pay system, the adjunct faculty pay schedule, and the adjunct faculty pay process.
  • Work closely with the class originators and academic operation specialists to effectively use and troubleshoot the system.
  • International & Specialized Payroll Processing
  • Prepare and process payroll for Canadian employee including currency conversion in two distinct systems.
  • Coordinates with Third Party payroll vendor for payment of Canadian earnings and the processing of US earnings shadow payroll.
  • Employee Support & Communication
  • Answer employee questions related to payroll and resolve issues.
  • Audit Support & Additional Duties
  • Assist with annual college financial audit and unemployment compensation audit as required.
