About The Position

UNFPA is seeking a skilled AI, Knowledge and Digital Workplace Specialist to help advance its AI, Data, and Knowledge practice within the Digital Center of Excellence (CoE) of the Information Technology Solutions Office. This role will support advancing UNFPA’s 2026-2029 Digital Strategy focusing on supporting the effective use of AI, knowledge and digital tools across the organization. The position encompasses three interconnected areas: supporting AI initiatives, managing Workplace and Knowledge-related tools, and driving Digital Adoption and Digital Dexterity. The successful candidate will act as a critical liaison between IT and global business users, ensuring UNFPA's knowledge workers have a seamless and positive digital user experience. This position reports directly to the Chief.

Requirements

  • Advanced university degree in Information Technology, Business Administration or related discipline.
  • A first-level university degree in combination with 2 additional years of qualifying experience may be accepted in lieu of the advanced university degree.
  • A minimum of five years professional experience in designing, implementing, and supporting enterprise-scale AI and digital workplace solutions.
  • Practical experience with AI tools, preferably Google Gemini, for workplace productivity and automation; experience developing AI tool guidelines or training.
  • Experience designing end-user training programs, creating technical documentation, and driving technology adoption across diverse user groups.
  • Solid experience in analyzing user requirements and translating them into specifications for digital workplace solutions and managing related projects.
  • Good understanding of technical interoperability principles and solutions for data exchange between different technology platforms.

Nice To Haves

  • Experience in Google Workspace configuration and troubleshooting within a large organization is desirable
  • Awareness of AI ethics, responsible AI, and human rights considerations is desirable
  • Awareness of Information Security and Data Privacy best practices is desirable
  • Experience working with or within the UN system or similar international organization is desirable.
  • Fluency in English; knowledge of other official UN languages, preferably French and/or Spanish, is desirable.

Responsibilities

  • Support Artificial Intelligence Initiatives through identification of use cases, solution design, build and go-live change management support.
  • Configuration or development of AI end-to-end solutions and AI agents
  • Design and develop agentic AI systems that can reason, orchestrate multi-step tasks, and generate responses dynamically.
  • Contribute to establishing and maintaining Artificial Intelligence governance policies, procedures and frameworks
  • Contribute to structured approaches to information security and data privacy throughout all AI, Data and Knowledge platforms
  • Support that all digital workplace solutions comply with UNFPA's security policies, data standards, records management, and data privacy regulations.
  • Define the vision and roadmap for UNFPA’s Digital Workplace (Google Workspace and related technologies) solutions as well as our Knowledge, Document and Records management family of solutions
  • Represent the customer within the IT team to ensure a coherent Digital Workplace experience across end points and online tools
  • Maintain a thorough understanding of existing and emerging Google Workspace tools and functions as well as related technologies.
  • Identify, evaluate, pilot, and champion the adoption of AI-powered features and within Google Workspace
  • Address interoperability issues between Google Workspace and Microsoft 365, advocating for interoperability and integration to improve inter-agency workflows
  • Promote and guide UNFPA staff on effective digital collaboration using Google Workspace tools for co-authoring, project management, virtual meetings, shared calendars, task lists, and online communities, both internally and inter-agency.
  • Guide outsourced day-to-day administration and configuration of UNFPA’s global Google Workspace environment
  • Ensure all digital workplace solutions comply with UNFPA's security policies, data standards, records management, and data privacy regulations.
  • Establish and maintain robust monitoring practices for Google Workspace health, service availability, usage trends, storage consumption, and license allocation.
  • Create and maintain technical documentation for the Google Workspace environment, including system configurations, SOPs, administrative guidelines, and knowledge base articles, ensuring clarity and accessibility for IT and support teams.
  • Oversee the UNFPA Digital Dexterity programme.
  • Ensure comprehensive digital literacy training (workshops, webinars, e-learning, guides, etc.) for global staff leveraging external consultants as needed
  • Champion digital transformation by promoting new tools and collaboration methods across UNFPA.
  • Maximize usage and value of the digital workplace suite, particularly Google Workspace and its integrated AI features.
  • Analyze user feedback on digital tools and support to identify issues and drive continuous, user-centric improvements.
  • Carry out any other duties related to the Digital Strategy and Digital CoE as may be required by UNFPA leadership.
