About The Position

Trinity Episcopal School seeks a detail-oriented Advancement Coordinator to join our team on April 1, 2026. This is a full-time, 12-month non-exempt position reporting directly to the Annual Giving and Alumni Relations Manager. The Coordinator plays a vital role in the Office of Advancement, providing essential database management, financial tracking, and administrative support. The successful candidate will be instrumental in the planning and implementation of strategic goals and special events that drive the school’s mission forward. The Advancement Coordinator supports the work of the School by promoting the mission, values and policies of Trinity Episcopal School.

  • Expert knowledge of Microsoft Word, Excel and BlackBaud’s Raiser’s Edge (database view and NXT) and experience or working knowledge of Google systems
  • Must be extremely organized, possess the ability to multitask, and meet project deadlines
  • Ability to represent the School to external constituents and work effectively with internal constituencies of various generations and cultures.

Responsibilities

  • Maintains database by updating contact information, professional titles, meeting notes and actions, and relationship links for all constituents in Blackbaud’s Raiser’s Edge with a high degree of accuracy
  • Track outstanding pledges and send periodic reminders to donors.
  • Generate, personalize, and mail timely gift acknowledgement letters and tax receipts (typically within 48–72 hours of receipt).
  • Creates and maintains tracking systems (i.e. campaigns, funds and appeals used for gift entry), spreadsheets, and databases to support Advancement Office activities and assigned projects
  • Tracks guest attendance for special events in Raiser’s Edge
  • Receives and processes confidential and sensitive information with discretion and in accordance with established guidelines or legal standards
  • Files electronic and/or hard copies of correspondence and donations
  • Conducts prospect screening, research and segmentation
  • Accurately record all charitable contributions (cash, checks, credit cards, stocks, and matching gifts) into the Raiser’s Edge database.
  • Posts gifts to the General Ledger and prepare posting reports for the Business Office
  • Collaborate with the Business Office to ensure all gifts are coded correctly and reconcile monthly development reports with the general ledger.
  • Prepares and provides daily and weekly financial and statistical reports for the Advancement Office
  • Prepares and provides monthly and year-end fiscal reports to the business office and auditors
  • Supports all planning and logistics for Advancement Office meetings and events; coordinates Facilities Requests and set-up; partners with internal and external vendors for catering and decor as needed; manages invitation mailings and RSVPs; prepares meeting/event materials; assists with on-site logistics and handles any other event-related tasks as directed by the Chief Advancement Officer
  • Assists the Advancement Department in all areas including fundraising, donor relations, marketing and volunteer coordination
  • Assists with donor prospect research utilizing Raiser’s Edge software and online resources
  • Initiates routine tasks and actions not requiring immediate attention of the Annual Giving Manager
  • Coordinates a variety of donor mailings, including invitations and newsletters
  • Prepares reports, memos, forms, correspondence and presentations when needed
  • Attends and takes minutes at Development Committee meetings and distributes the minutes promptly
  • Orders materials, supplies, and equipment upon approval of the Chief Advancement Officer
  • Maintains accurate and detailed calendar of events, due dates, and schedules
  • Other responsibilities may be assigned by the Chief Advancement Officer or Head of School
