About The Position

The position is pending award of contract. Provide administrative support to Care in the Community (CITC) by receiving and processing health/administrative information and coordinating community care consults and appointments (access, scheduling, referral processing, customer service) for Veterans across CTVHCS, using VA systems and adhering to VA policies and performance standards. Perform and coordinate appointment scheduling in accordance with VHA Directive 1230 (Outpatient Scheduling) and VHA Directive 1232 (Consult Management). Properly process community care consults via HSRM/PPMS and related tools. Screen and receive calls courteously and timely; respond to inquiries regarding service delivery. Validate and update patient demographics in scheduling software or refer to Enrollment/Eligibility as appropriate. Ensure received outside medical records and information are integrated into CPRS and VistA Retrieve and respond to calls, emails, and Teams messages within 48 business hours. Follow Minimum Scheduling Effort; disposition referrals; work assigned reports/metrics (e.g., Aged Active/Scheduled, Idle >14 days, Admin Closed with Medical Records). Monitor, route, and process incoming/outgoing faxes and mail in accordance with HIPAA and privacy/security requirements. Collaborate with the CITC team; communicate scheduling/referral issues to the supervisor/Lead MSA; participate in team huddles as required. Comply with TJC/CBI programs; verify two patient identifiers; maintain IT security and protect sensitive records. Ability to work with the following systems: VistA, CPRS, HSRM, CTM, PPMS, REFDOC, EPSI, ECR, RightFax, Cisco/Jabber, Outlook, Teams, Microsoft Office. Complete all mandatory required training per VAMC policy. Be aware of all laws, regulations, policies, and procedures relating to Privacy, Confidentiality and HIPPA and complies with all standards. Maintain zero breaches of privacy or confidentiality. Complete all performance standards within VA guidelines. Completes required organizational compliance education, including assigned requirements that are client-specified, for Joint Commission Healthcare Staffing Services certification or other regulatory bodies. Requirements

  • Must be able to type at least 50 words a minute.
  • Have basic medical terminology knowledge.
  • Proficiency with VA systems and Microsoft Excel.
  • High School (HS) or General Equivalency Diploma (GED).
  • Must be able to read, write, and speak English to effectively communicate.
  • US Citizen or Permanent Resident Card is required.
  • Pass/possess VA Public Trust Clearance.
