About The Position

Nevada State University invites applications for the position of Admissions & Records Assistant 3. The Admissions & Records Assistant 3 will support the Office of the Registrar by overseeing front desk operations and supervising student employees. This position also includes training and mentoring student employees. Strong interpersonal, communication, and organizational skills, along with the ability to handle confidential information, are essential for success in this position. Requirements

  • Graduation from high school or equivalent education and three years of clerical experience, two years of which was in a college admissions and/or records office or relevant student services area which included records maintenance, public/customer relations, evaluation of detailed information and documents, and the explanation of complex policies and procedures; OR one year of experience as an Admissions & Records Assistant 2 in Nevada State service; OR an equivalent combination of education and experience as described above.
  • Eligibility to work in the United States without sponsorship (Nevada State does not sponsor employment-related visas).

Nice To Haves

  • Associate Degree or higher.
  • Previous experience working with student information systems such as PeopleSoft, Banner, Jenzabar, etc.
  • Previous experience with a college admissions and/or records office or relevant student service area which included record maintenance, public/customer relations, evaluation of detailed information and documents, and the explanation of complex policies and procedures.
  • Ability to maintain confidentiality in all aspects of the job.
  • Experience with diverse populations.
  • Experience using educational technology, demonstrates competency with computer applications and databases.
  • Organized, detailed orientated, and a problem solver.

Responsibilities

  • Manage the front desk operations of the Office of the Registrar including responding to students, staff, and other educational institutions in a timely manner, assisting students with enrollment issues, maintaining student records and resolving issues and complaints. Using myNevadaState and OnBase to assist students and ensure student records are accurate.
  • Supervise student employees including hiring, training, and providing daily supervision and assignment of duties and processing time entries.
  • Reference, retain, recall and apply NSU and Nevada System of Higher Education policies and procedures as it relates to registration and student records.
  • Review and process registration forms including, but not limited to, transcript and enrollment verification requests, students' personal information update, add/change of majors or minors, etc.
  • Updating, maintaining, and troubleshooting the Registrar's webpage and FAQs.
  • Maintain budget records, including assisting with budget preparation, preparing deposit documents, preparing travel documents, and ordering supplies. Using Workday to create Purchase Orders, Verify Procurement, etc.
  • Other duties and projects as assigned.
