About The Position

Under the general supervision of the Assistant Dean of Professional and Continuing Education and in collaboration with the Student Advisor Lead, the purpose of this position is to counsel applicants, provide accurate information on admissions policies and procedures and review applications. More specifically, the position will review and support applicants for self-supported degree programs and will assist in the review of applications, appeals, and supporting documents relevant to admissions decisions. The position requires attendance and planning of recruitment events and serving as a liaison for students with Admissions and the Registrar’s office.

Requirements

  • Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job‑related field.
  • Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year‑for‑year basis.
  • Possession of these knowledge and abilities is typically demonstrated through the equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth.
  • A master’s degree in a job‑related field may be substituted for one year of the professional experience.
  • Working knowledge of the practices, procedures and activities of the program to which assigned, general knowledge of the methods and problems of organizational and program management.
  • General knowledge of research and interview techniques; and of the principles of individual and group behavior.
  • Ability to interpret and apply program rules and regulations; use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements; obtain factual and interpretative information through interviews; reason logically; collect, compile, analyze and evaluate data and make verbal or written presentations based on these data; advise students individually and in groups on routine matters where required; recognize multicultural, multisexed and multi‑aged value systems and work accordingly; establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts; and, rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned.

  • Experience in the analysis and application of academic regulations and procedures related to admissions.
  • Experience involving detailed work, including mathematical computations with a high degree of accuracy.
  • Familiarity with online resources (i.e., College Source, AACRAO, and Assist) and the Common Management System (CMS) or other student administration data systems.

Responsibilities

  • Application Evaluation:
  • Responsible for reviewing transcripts and other applicant records to determine eligibility requirements, including specific course and GPA requirements by gathering and analyzing data, and interpreting and applying program rules and regulations.
  • Evaluates and provides accurate GPA calculations, identifies transferable courses, and enters admissions decisions and other pertinent information into PeopleSoft.
  • Utilizes basic interview techniques to assess student needs. Under general supervision, provides guidance and advising on courses and programs in accordance with established policies and procedures.
  • Maintains accurate student information and status in Customer Relationship Management (CRM) or database.
  • Provides support to students in preliminary assessment and review of transcripts to ensure program eligibility and admittance. Support should be provided via email, telephone, in-person, and via Zoom.
  • Workshops/Presentations and Student Appointments
  • Presents on application steps and stages to various audiences and assists in scheduling and staffing application workshops,
  • Shares updates on the application system, and works with leadership to identify changes to the application and transcript process that needs to be shared with campus and community constituents.
  • Regularly conducts admission and pre-admission appointments with applicants regarding admission eligibility.
  • Recruitment:
  • Coordinates, plans, and administers program events, oral presentations, information sessions, and projects for small and large groups for the purposes of recruitment.
  • Attends recruitment fairs to promote College of Extended and Global Education (CEGE) programs at community colleges, employer-provided benefits, and college fairs, conferences, and community events.
  • Assists with student and program forms to facilitate recruitment efforts.
  • Coordinates recruitment projects and call campaigns for Administrative Support Coordinators and student assistants.
  • Collaborates with the marketing team on the design of marketing materials and email blast communications.
  • Conducts presentations to campus stakeholders on program performance data, including admission yield rates, ensuring clear and concise communication.
  • Reports:
  • Identifies trends in application denials and provides recommendations within established parameters in preparation for counseling and guidance during recruitment efforts.
  • Gathers and analyzes data to support student recruitment, and re-engagement of denied students.
  • Assists with reports on admission yield rates.
  • Performs other classification-related duties as assigned.
