About The Position

The Emma L. Bowen Community Service Center is seeking an Administrator & Billing Support to join our team. This position is a terrific opportunity for someone to gain additional experience and make a difference in the lives of our clients. For over 45 forty-five years, our organization has provided mental health and holistic services in northern Manhattan for families, children, adolescents, and other adults including the elderly in a supportive and caring environment. We also have an out-patient and residential substance abuse program as well as a Therapeutic Preschool for 3-5 year olds. Upper Manhattan Mental Health Center is a Certified National Health Service Corps (NHSC) site. The Administrator & Billing Support is responsible for managing the client intake process, ensuring accurate documentation, and submitting required Report to the funders. Also supporting the billing department with timely and compliant authorizations and documentation. This role requires excellent communication skills, strong attention to detail, and the ability to work efficiently in a fast-paced behavioral health environment.

Requirements

  • High School Diploma required; Associate’s Degree preferred.
  • Minimum 1–2 years of intake, administrative, or healthcare office experience.
  • Experience in behavioral health, substance use treatment, or medical billing preferred.
  • Strong computer and data-entry skills; familiarity with EHR systems a plus.
  • Excellent communication and customer service skills.
  • Ability to multitask while maintaining accuracy.
  • Knowledge of Medicaid and Managed Care billing beneficial (training available).

Nice To Haves

Responsibilities

  • Submit and track authorizations for all new admissions and continued stay services within required MCO timeframe.
  • Assist clients with completing HRA paperwork.
  • Perform eligibility and benefit verification on a monthly basis.
  • Perform additional billing and authorization support tasks as needed to ensure timely reimbursement.
  • Enter client demographic and insurance information into the Electronic Health Record (EHR).
  • Maintain organized intake files (digital and paper) and track missing documentation.
  • Create correspondence and prepare reports or documents (Administrative Report, U.R. and Q.I. reports).
  • Update Quest and enter clients HMO when needed.
  • Maintaining Disposition of non-acceptance Log Book and Equipment Inventory Log Book,
  • Responsible for maintaining HRA RTP reports and filing of all reports and submitted HRA application and correspondence.
  • Responsible for maintaining OASAS Clients DATA system (PAS 45, 48,44).
  • Perform other duties as assigned by the Director.
  • Answer phones, greet visitors, and provide general front desk coverage when needed.
  • Prepare and organize documents, correspondence, and daily reports.
  • Maintain office supplies and assist with operational tasks.
  • Protect confidentiality and comply with HIPAA and agency policies.
