About The Position

The Administrator, Benefits & Well-Being (Benefits, HRIS & Compliance) is a highly technical and detail-oriented role responsible for the administration, optimization, and compliance of employee benefits programs and HR systems. This position serves as a critical link between data, systems, vendors, and employees—ensuring accuracy, regulatory compliance, and a strong employee experience. The role requires advanced analytical skills, comfort working with large data sets, and the ability to identify and resolve discrepancies across multiple platforms. In addition to day-to-day administration, this position contributes to strategic initiatives related to benefits design, and well-being programs, HRIS optimization, and compliance risk mitigation.

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, Finance, or a related field, or equivalent experience
  • 5+ years of experience in benefits administration, HRIS, compliance, or a related HR operations role
  • Strong technical skills with advanced proficiency in Excel (pivot tables, formulas, data analysis); experience with Smartsheet, Access, or similar tools strongly preferred
  • Demonstrated experience pulling, reconciling, and analyzing complex data sets
  • Solid understanding of employee benefits, retirement plans, leaves of absence, and regulatory compliance requirements
  • Exceptional attention to detail and data accuracy
  • Strong analytical and problem-solving skills
  • Ability to manage multiple priorities and deadlines in a fast-paced environment
  • Clear written and verbal communication skills
  • High level of discretion and professionalism when handling confidential information
  • Ability to translate complex data into actionable insights for stakeholders

Responsibilities

  • Administer health and welfare benefit programs, including medical, dental, vision, life, disability, FSA/HSA, and voluntary benefits
  • Manage retirement plans (e.g., 401(k)), including eligibility, contributions, audits, reporting, and vendor coordination
  • Oversee wellness and well-being programs, including vendor management, participation tracking, and program effectiveness analysis
  • Ensure accurate enrollment, eligibility, and payroll deductions across all benefit plans
  • Serve as a subject matter expert for benefits-related inquiries, escalations, and complex cases
  • Partner with third-party administrators, payroll, and Leave and Retirement Plan Administrators to ensure accurate tracking and pay coordination from an HRIS/ payroll perspective
  • Audit leave data to ensure compliance, accuracy, and alignment with company policies
  • Maintain and optimize HRIS and benefits systems to ensure data integrity and accurate reporting
  • Pull, analyze, and reconcile reports across HRIS, benefits platforms, payroll systems, and vendors
  • Identify trends, discrepancies, and root causes; proactively resolve data issues
  • Create and maintain dashboards, trackers, and audit tools using platforms such as Excel, Smartsheet, Access, and similar systems
  • Support system upgrades, implementations, integrations, and testing
  • Ensure compliance with federal, state, and local regulations, including ERISA, ACA, COBRA, HIPAA, FMLA, and applicable state laws
  • Prepare and support audits, filings, and reporting (e.g., ACA reporting, nondiscrimination testing, Form 5500 data coordination)
  • Maintain compliance documentation, policies, and procedures
  • Monitor regulatory changes and assess impact to benefits, HRIS, and internal processes
  • Partner with Benefits Team to support benefits strategy, vendor evaluations, and plan design decisions
  • Analyze benefits and HR data to support cost management, utilization insights, and employee engagement initiatives
  • Identify opportunities to streamline processes, automate reporting, and improve data accuracy
  • Develop and document standard operating procedures (SOPs) and internal controls
