About The Position

Our client, a world leader in biotechnology and life sciences, is looking for an Administrative Operations Specialist to support the Global Customer Success (GCS) ML SBX team. This role acts as a strategic partner to leadership, driving cross-functional coordination, managing documentation and meetings, and delivering data-driven insights to track team performance.

Requirements

  • Bachelor’s degree required with 5+ years of experience in administrative, operations, or project support roles.
  • Strong skills in Excel (Pivot Tables, VLOOKUPs) or data visualization tools (Tableau, Power BI).
  • Experience with project tracking tools (Smartsheet, Jira, Trello) and O365/SharePoint.
  • Excellent communication, organizational, and stakeholder management skills.
  • High level of accountability, analytical thinking, and ability to work in a fast-paced global environment.

Responsibilities

  • Coordinate with global stakeholders to track action items and ensure project milestones are met.
  • Manage complex calendars, meetings, and documentation, including agendas and actionable minutes.
  • Support internal communications and marketing content (e.g., newsletters, updates).
  • Analyze data to identify trends, maintain dashboards, and track KPIs.
  • Prepare reports and visualizations to support decision-making.
  • Facilitate team meetings and events to enhance collaboration and communication.
