Requirements

  • Proven experience in an administrative support role, preferably within the construction industry.
  • Excellent organizational and time management skills with strong attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with project management software is a plus.
  • Strong communication skills, both verbal and written, to interact effectively with clients, vendors, and team members.
  • Ability to multitask and prioritize tasks in a fast-paced work environment.
  • High school diploma or equivalent required; additional administrative training or certification preferred.

Responsibilities

  • Provide administrative support to the management and project teams.
  • Manage incoming calls, emails, and client inquiries professionally and promptly.
  • Coordinate schedules, appointments, and meetings for management and project staff.
  • Prepare, organize, and maintain project documentation and company records.
  • Assist with billing, invoicing, and tracking of project budgets in collaboration with accounting.
  • Support the preparation of proposals, contracts, and other company correspondence.
  • Maintain inventory records for office and project supplies, ensuring timely restocking.
  • Assist in organizing company events, team meetings, and training sessions.
  • Ensure compliance with company policies and assist in safety documentation management.
