About The Position

INTECON, LLC is seeking a detail-oriented and highly organized Executive Administrative Specialist (Journeyman) to support the Defense Counterintelligence and Security Agency (DCSA) Office of the Inspector General (OIG). This role provides mission-critical administrative, case management, and operational support to OIG leadership and investigative teams, including direct support to the Hotline Investigation Team and Inspector General Front Office. The position operates in a high-visibility, sensitive environment, requiring discretion, accuracy, and the ability to manage investigative tasking, classified coordination, and executive-level workflows. The ideal candidate has experience supporting DoD or federal organizations and is comfortable working with case tracking systems, security databases, and executive operations.

Requirements

  • Must possess a Secret security clearance or higher to be considered
  • Associate’s degree in Business Administration, Management, Communications, or related field
  • 3–7 years of administrative, operations, or program support experience, preferably within DoD or federal environments
  • Demonstrated experience supporting executive leadership or high-visibility offices
  • Experience with task management systems such as CATMS, SharePoint, ServiceNow, or similar tools
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
  • Excellent written and verbal communication skills with strong attention to detail
  • Ability to handle sensitive and classified information with discretion and professionalism

Nice To Haves

  • Top Secret clearance is preferred
  • Bachelor’s degree in Business Administration, Management, Communications, or related field
  • Familiarity with security and personnel systems (e.g., DISS, NISS) is highly desirable
  • Prior Inspector General, investigative, or security support experience is a plus

Responsibilities

  • Support the Hotline Investigation Team by managing intake, tracking, and routing of investigative cases.
  • Maintain and update the Hotline Case Review (HCR) Tracker, ensuring accuracy, proper assignment, and status visibility.
  • Conduct research and assist in drafting Hotline Case Reviews (HCRs) in support of investigative actions.
  • Query systems such as DISS and NISS to obtain relevant personnel and case-related information.
  • Maintain case documentation and ensure records are properly stored within shared drives and tracking systems.
  • Manage the full CATMS tasker lifecycle, including acceptance, tracking, coordination, and closure.
  • Maintain CATMS tracking tools and spreadsheets to ensure timely completion and suspense compliance.
  • Coordinate tasker responses across OIG staff and ensure alignment with leadership direction.
  • Draft and manage tasker-related communications and follow-ups.
  • Provide direct administrative support to the Inspector General and OIG leadership, including: Calendar management and meeting coordination, Scheduling internal and external engagements, Preparing meeting materials and briefing binders.
  • Coordinate secure and non-secure meeting logistics, including JWICS conference room scheduling.
  • Manage leadership priorities and ensure proper sequencing of meetings and engagements.
  • Support Suitability Employment Check processes, including initial reviews and coordination of required documentation.
  • Maintain and update Suitability Tracking systems and associated correspondence.
  • Coordinate visitor access requests, badges, and security requirements for personnel and meetings.
  • Submit and manage ServiceNow (SNOW) requests for system access, equipment, and account management.
  • Serve as a key contributor to daily OIG operations, including: Managing shared inboxes and communications, Submitting daily occupancy reports (OCRs), Tracking personnel leave, TDY, and availability.
  • Coordinate conference rooms, external meeting locations, and IT support requirements.
  • Maintain shared drives, ensuring documentation accuracy and accessibility.
  • Draft, review, and edit internal memorandums and official correspondence to ensure clarity, accuracy, and compliance with OIG standards.
  • Capture and document meeting minutes, action items, and follow-ups.
  • Prepare briefing materials and binders for leadership engagements and investigative activities.
