The Association for Individual Development (AID) is a non-profit organization whose mission is to empower people with physical, developmental, intellectual, mental health challenges, those who have suffered a trauma, and those at risk to enjoy lives of dignity and purpose. We are looking for an Administrative Support – Scheduler Client Engagement who exemplifies that mission and wants to work for an organization that makes a difference. What will you be doing? Responsibilities include assessing the health needs of clients, planning for the provision of needed health services, implementing a plan of care, and evaluating outcomes and ongoing health needs in collaboration with the client and other members of the health care team, as needed. Schedules psychiatry appointments and communicates with patients and guests including greeting them upon arrival, confirming identity and providing necessary information related to their visit. Confirms and updates patient identification and demographic/insurance information. Completes patient registration as needed. Obtains patient consents/authorizations. Collects co-payments, past due balances and point of service payments. Posts payments, process billing information and perform “end of day” cash drawer closing. Responsible for coordinating the provision of integrated healthcare to all clients at AID; providing education and resources on various health disparities and disease prevention related services available in the community. Completes Referral form for psychiatry services. Cross-trained to manage the front office clinic tasks. (vitals, assessments)

  • Assist with and assess the health needs of clients, planning for the provision of needed health psychiatry services, implementing a plan of care, evaluating outcomes, and printing summary clinic visits in collaboration with the client and other members of the health care team, as needed.
  • Completes New employee medication training.
  • Completes program compliance with Rule 132 (Medication Regulations).
  • Completes timely assessment(s) of client’s health, using various screening tools. (i.e., Informed Medication Consent, other assessments as directed by RN or prescriber), according to program requirements.
  • Schedules and communicates with patients and guests via phone and follows up with clients as directed by the psychiatry department.
  • Promote client wellness through gathering information and referral services to clients facing various health challenges, as needed.
  • Communicate with service delivery partners, which may include Physicians, Nurse Practitioners, Counselors, Pharmacists, Employers, Community Supports, and other Health Professionals, as needed, to facilitate the achievement of the client’s wellness objectives.
  • Work scheduled hours, and be flexible to meet client and program needs, including cross-training and coverage in other programs as assigned by supervisor.
  • Complete clinical assessments that meet the requirements of program funders and applicable administrative rules.
  • Direct callers to appropriate staff, take messages, and ensure delivery promptly.
  • Greet visitors, have them sign in, issue appropriate visitor tags, and direct them to the appropriate staff.
  • Distribute incoming mail as needed
  • Office administrative, copy assignments, and send/distribute FAX and email boxes for psychiatry.
  • Scan documents and accurately label them in Cx360.
  • Maintain office security and safety practices
  • Maintain office supplies and forms, and re-order per agency procedure.
  • Maintains responsibility for setting up rides to and from appointments for psychiatry.
  • Complete daily reminder calls/texts to clients in BH psychiatry services as needed.
  • Back office duties MA/CNA will take clients vitals, report abnormal values immediately to provider or nurse.
  • Maintain the billing log and submit within 24-48 hours after clinic.
  • Upload all forms for provider to sign in cx360.
  • Assure compliance with all agency, state, and federal regulations while providing services and completing assignments. Review and follow updated policies and procedures.
  • Complete and sign all MRO Documentation within 48 hours using Cx360.
  • Education: High School Diploma or associate degree in a human services field required
  • License/certifications: Certified Nursing Assistant or Medical Assistant.
  • Experience: 1+ years of experience in psychology, and medical practice scheduling. Able to interpret English to Spanish
  • Physical: Requires sitting, walking, stooping, carrying
  • Equipment: Computer with working knowledge of Microsoft Windows and software programs Telephone with voice mail system
  • Flexibility to work evening hours

  • Use of employee personal automobile to program site. Drives self for agency business.
  • Must be organized and have pleasant telephone manners.
