About The Position

Job Purpose: Operates multi-line telephone system and routes calls appropriately. Receives visitors and directs them to the appropriate party or location. Provides administrative support. Essential Job Duties: • Answers telephone calls and routes calls to appropriate parties. • Greets all clients, staff, volunteers and visitors in a pleasant and professional manner. • Performs clerical duties as assigned, including but not limited to: data entry, reports and other documents. • Accepts donations and inventories items for distribution and forwards information to Development department. Other Duties: • Completes other responsibilities as assigned by supervisor. • Completes training necessary to perform position. QualificationsJob Requirements: • High school diploma or equivalent experience and education. • At least 2 years receptionist or administrative assistant experience. • Strong verbal interaction skills. • Ability to put people at ease and handle difficult interactions when necessary. • Typing speed of 45 w.p.m. • Ability to operate multi-line switchboard using headset. • Ability to multi-task. • Basic computer skills, including Word, Excel, and Outlook, required. Proficiency in Publisher and/or Canva preferred. • Basic clerical skills. • Ability to effectively present information and respond to questions from staff, volunteers, clients and the general public. • General mathematical skills. • Ability to independently complete tasks with limited supervision. • Ability to interact with clients with sensitivity and responsiveness to cultural and socioeconomic characteristics in the service population. • Preferred skills: Knowledge of Publisher or Canvas. Environment: • Majority of work is in a typical office environment. • Position is a front desk position in an open area near the front door and accessible to employees, donors, clients and the general public. Environment at times may be noisy and require receptionist to deal with emotional persons. Physical Requirements: Physical requirements include: • Ability to talk or hear. • Ability to type and perform other office skills.
