About The Position

We are looking for an organized individual to provide administrative support and customer service to the client. You will be responsible for managing the front desk, entering data for the Transition Assistance Program (TAP), and ensuring office records are kept up to date.

Requirements

  • High School Diploma or equivalent
  • Minimum of 2 years of experience in an administrative or office support role
  • Must be proficient in Microsoft Office, specifically Access, Excel, and Word.
  • Must have excellent grammar and spelling skills for editing reports. Must be able to speak politely and tactfully with people.
  • Ability to file records, screen calls, and organize information from different sources.

Nice To Haves

  • Familiarity with Air Force terminology is a plus.

Responsibilities

  • Welcome visitors and answer telephone calls professionally. Find out what they need and direct them to the right staff member.
  • Personally answer basic requests, such as report status or deadlines, without needing to ask a supervisor.
  • Manage the client outlook appointment calendar and set up reminders for deadlines.
  • Ensure all customers complete necessary forms, such as the Statement of Understanding (SOU).
  • Explain available programs and services to potential patrons.
  • Enter data into the TAP ACCESS and AFFIRST systems to maintain accurate customer records.
  • Serve as the primary keeper of records. You will file, maintain, and properly dispose of old files according to Air Force regulations.
  • Monitor inventory and order office supplies and printing services when needed.
  • Prepare and combine time and attendance records.
  • Use Word to create letters, memos, and forms. Use Excel and Access to create reports and sort data.
  • Review outgoing documents to check for correct grammar, spelling, punctuation, and formatting.
  • Sort incoming mail and emails. Decide if they need immediate attention, need to be sent to someone else, or can be handled by you.
  • Use graphics software to create simple charts and graphs for reports.
  • Help coworkers with simple computer or software problems.
  • Assist in creating training materials and showing office members how to use them.
  • You may be asked to create simple shortcuts (macros) in software to speed up work.
