About The Position

The Administrative Support Coordinator I ( ASC I) provides primary administrative staff support to the Office of the Dean of CHHS . The incumbent works directly with the ASC II and Administrative Analyst/Specialist of the CHHS Dean’s office. The incumbent is expected to work under pressure with frequent interruptions while prioritizing assignments in order to meet deadlines. S/He is expected to deal cordially and professionally with visitors to the Dean’s Office from a variety of ethnic and socioeconomic backgrounds. Provides support for three new centers in the college. These centers are: Student Success Center ( SSC ), Center for Health, Practice, Policy and Research ( CHPPR ), and the Inter Professional Education Center for Innovative Teaching and Learning ( IPE ). Support includes marketing, communications, and clerical support. Under the direction of the Associate Dean of Students and Personnel, provides administrative support for the new Health Science Meta Degree program housed in the dean’s office. The incumbent must maintain confidentiality of materials and information received within the office. The incumbent acts as the College’s back-up payroll warrant officer.

Requirements

  • Thorough knowledge of office methods, procedures, and practices.
  • Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages, as well as fluency in using standard office software such as Microsoft Word, Access, Excel and Outlook.
  • Excellent verbal and written communication skills.
  • Ability to work independently as well as in a team environment.
  • Ability to handle a variety of multiple tasks in a busy environment.
  • Ability to apply independent judgment, discretion, and initiative to address problems and develop solutions.
  • Ability to coordinate front line contacts with a variety of campus and community individuals requiring problem solving, organizational skills, and effective interpersonal skills.
  • Ability to learn new skills with a high degree of motivation.
  • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
  • Ability to set priorities among numerous ongoing activities and meet internal and external deadlines.
  • Ability to maintain confidentiality and identify sensitive information.
  • Ability to pass a background check

Nice To Haves

  • University system software to include CMS , PeopleSoft: HR/Student Administration; Class Schedule/Curriculum Management; CFS Financials including but not limited to COGNOS /SacVault, Procurement Card (ProCard), Procurement-all modules, Visitor Parking, ASTRA
  • Event coordination experience.
  • Knowledge of the various programs and disciplines which encompass the College of Health and Human Services.
