About The Position

The Division of Maternal and Child Health (MCH) within the Kentucky Department of Public Health is dedicated to advancing the health and well-being of children, pregnant women, and families across the Commonwealth. MCH supports a wide range of statewide initiatives focused on early life health, family support, prevention, and long-term wellness, serving one of Kentucky’s largest and most impactful public health populations. This administrative support position plays a key role in ensuring the smooth and effective operation of the division’s programs and daily activities. The role provides essential organizational, coordination, and operational support to leadership and program staff, contributing to the division’s ability to deliver services efficiently and effectively statewide. The ideal candidate is highly organized, adaptable, and service-oriented, with strong communication and problem-solving skills. Requirements

  • EDUCATION: Graduate of a college or university with a bachelor's degree.
  • EXPERIENCE, TRAINING, OR SKILLS: One year of professional, administrative, or business experience.
  • Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.
  • Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.
  • SPECIAL REQUIREMENTS (AGE, LICENSURE, REGULATION, ETC.): NONE

Responsibilities

  • Provides professional administrative support to the Division Office's operations.
  • Answers the division’s phone line and routes phone calls.
  • Tracks and coordinates Division correspondence and approval routing forms, sorts mail, and maintains Division files.
  • Monitors and maintains the Division Office's group mailboxes.
  • Oversee the calendar for the division's conference room.
  • Schedules meetings, coordinates, and maintains calendars for division leadership.
  • Assists staff with securing needed inventory and equipment.
  • Completes requests in the Cabinet's purchasing request system and routes them for approval.
  • Maintains inventory records for the division's equipment.
  • Acts as the primary point of contact for phone and IT-related issues and requests.
  • Acts as the point of contact and assists staff with Open Records Request.
  • Acts as the division’s safety officer.
  • Acts as a backup to branch administrative specialists.
