Primary Objectives: The Administrative Specialist provides administrative and expense coordination support for Company owners. This role ensures timely, accurate submission of high-volume expenses, with additional administrative support as needs evolve.

Requirements

  • 3+ years related experience in business administration or business operations
  • Highly organized and process-oriented
  • Ability to work independently and create structure where little exists
  • Strong follow up and deadline management skills
  • Comfortable working with ambiguity and evolving responsibilities
  • Must have very strong interpersonal and organizational skills, and possess a professional appearance and demeanor
  • Ability to cultivate amicable working relationships with ownership and team members, as well as vendor partners
  • Exhibit good judgment, personal integrity, and high ethical standards
  • Ability to handle confidential information professionally and with a balanced perspective, tact, and diplomacy

Responsibilities

  • Collect, track, and submit receipts and invoices for a high volume of business-related expenses on a consistent schedule, ensuring DCi’s standards are upheld
  • Follow up regularly to ensure expense documentation is complete and submitted on time
  • Organize and maintain expense records in accordance with accounting requirements
  • Coordinate with the accounting team to support monthly close and reporting timelines
  • Support frequent travel activity by managing expense documentation before and after trips
  • Provides general administrative assistance based on business priorities
  • Support internal facilities eg internal task for internal events or special requests, runner, mail distribution, ordering of office supplies, backup phone support
