About The Position

As an Administrative Specialist with the Public Health Licensure Unit Support Team, you’ll play a key role in supporting health licensing processes and delivering exceptional service to licensees. This position directly contributes to public health and safety by managing financial transactions, ordering supplies, processing drug and alcohol testing permits, assisting with licensee compliance monitoring, and providing high-quality customer support. Requirements

  • At least one year of post high school coursework or experience in: administration, office management, accounting, finance, planning, policy analysis and implementation, administrative/management analysis, operations research, program evaluation, research, or similar fields or in a field related to the programs or functions of the employing agency.

Nice To Haves

  • Administrative and Financial Experience Experience performing administrative or office support duties that include processing financial documents such as invoices, journal entries, reimbursements, or fund transfers.
  • Experience in a public health, licensing, or government environment is preferred.
  • Organizational and Technical Proficiency Experience managing multiple priorities with accuracy and attention to detail.
  • Proficiency using Microsoft Office Suite (Word, Excel, Outlook) and working with databases or records management systems.
  • Customer Service and Communication Skills Experience providing professional, courteous, and solution-focused customer service in a high-volume environment.
  • Strong written and verbal communication skills with the ability to maintain confidentiality and handle sensitive information appropriately.

Responsibilities

  • Process a variety of financial documents, including journal entries, invoices, inter-agency fund transfers, and reimbursement forms.
  • Process returned checks
  • Enter disciplinary action and support compliance monitoring
  • Assist with managing high volumes of incoming and outgoing mail.
  • Respond to public inquiries by phone and email.
  • Assist licensees during renewal periods and support customer service functions.
  • Process security administrator requests and coordinate onboarding/offboarding teammates.
  • Order and track office supplies, phones and specialty items as needed.
  • Contribute to the development and implementation of a new License Information System.
  • Participate in special projects, data tracking, and the creation of presentations.
