The Office for Children with Special Health Care Needs (OCSHCN) may be the place for you! OCSHCN is seeking an Administrative Specialist in the Owensboro area. OCSHCN provides comprehensive services for children and youth with special health care needs through our pediatric specialty clinics, care coordination, case management, therapies, and collaborations. The Administrative Specialist provides professional support to Owensboro office.

Requirements

  • Graduate of a college or university with a bachelor's degree.
  • One year of professional, administrative, or business experience.

Responsibilities

  • Interprets, follows regulations, policies and processes applicable to agency programs.
  • Initial contact for patient referrals to clinical or augmentative programs.
  • Properly routes contractors to appropriate responsible staff.
  • Provides administrative support to medical and interdisciplinary team where necessary.
  • Travels between locations as needed to provide necessary support.
  • Assists in scheduling and coordinating clinical and/or augmentative services, client registration, updating medical records to ensure accurate demographic information, insurance, and clinical/augmentative information.
  • Obtains diagnostic results from outlying facilities, uploads in Computer Utilization Program (CUP) and files appropriate diagnostic forms before, during and after each clinic.
  • Verifies client insurance verification before each patient encounter. Verifies benefits as needed, schedules patient diagnostic tests, and creates prior authorizations as needed.
  • Communicates with patients, providers and family.
  • Prepares and submits reports to other agencies or community partners/providers as needed.
  • Processes payments as needed and completes the weekly bank deposit as necessary.
  • Assists and completes office inventory annually and on an as needed basis.
  • Procard purchaser, petty cash recorder and safety team member.
  • Prepares and submits monthly and quarterly reports to the Nurse Program Administrator and agency representatives, including but not limited to petty cash, weekly deposit report and outreach.
  • In accordance with the Health Insurance Portability and Accountability (HIPAA) and confidentiality policies and procedures, assists in the security and maintenance of all medical records, release of medical record information as appropriate, archiving of records, remaining current on all policies and procedures as related to records, and assisting in facilitation of the office or unit budget.
  • Assists with drafting, developing and/or production of training materials and patient and family informational clinical handouts.
  • Assists and/or attends local community engagement and/or outreach activities.
  • Assists with review and recommendations for agency policies and office processes.
  • Performs other duties as assigned.
