About The Position

The DMV is looking to fill an Administrative Technician position within the Driver and Vehicle Records Division. Under limited supervision, after meeting the training criteria, this position has the joint responsibility to manage the day-to-day operations of the Driver and Vehicle Records Help Desk. You will perform as a lead assisting 10 representatives who are providing customer service by signing into a phone system, managing many inbound and outbound calls daily, and performing additional job duties. This position will require in-depth program administrative knowledge to monitor daily work, set goals, and plans. Work may involve assessing unusual circumstances or requests, making decisions affecting individuals, organizations, and processes both inside and outside the DMV, and performing system testing. As a lead, you will use your extensive knowledge base, providing business and technical expertise for all areas under the jurisdiction of the Driver and Vehicle Records Division. These areas may include staff, county offices, the public, other in-state and out-of-state government agencies, law enforcement, insurance companies, etc. Drafts policies/procedures to be used by staff and makes revisions if laws/regulations change; monitors the program's compliance with rules/procedures and goals/objectives established by the manager/administrator; assumes hands-on program responsibility/accountability. Develops and implements monitoring/evaluation procedures to oversee the effectiveness of the program administrative processes and to identify any associated problems.

Requirements

  • At least one year of post-high school coursework or experience in: administration, office management, accounting, finance, planning, policy analysis and implementation, administrative/management analysis, operations research, program evaluation, research, or similar fields; or in a field related to the programs or functions of the employing agency.
  • Knowledge of: Departmental software programs/systems, technical processes and procedures, business processes, policies, and procedures; agency rules, regulations, and state statutes.
  • Ability to: Organize, communicate, and exchange information with others; interpret and apply policies, procedures, and regulations; retrieve information from a variety of sources; advise and interpret how to apply policies, procedures, and standards to specific situations; use functional reasoning and apply rational judgment in performing diversified work activities; work as a lead in a team environment with a cheerful, positive attitude; stay focused on daily work in a busy environment.
  • Interact with immediate supervisor and senior managers, employees, and the public to gain their cooperation and establish work relationships; formulate and recommend modifications to operational directives to attain agency goals; apply management practices, techniques, and methodologies to assigned activities; collect, assemble, and analyze facts and draw conclusions to recommend solutions to problems; identify and interpret program-administrative requirements, policies, and regulations to provide guidance and advice; organize and present facts and opinions to managers and groups; learn the structure, functions, goals, and policies of the employing agency.
  • Skills: active listening; asking questions; communicating information/instructions, both orally and in writing, to be easily understood by others; prioritizing and organizing work; problem identification and resolution.
