About The Position

The Administrative Specialist is responsible for overseeing and executing the company’s daily administrative operations, ensuring an efficient and well-organized office environment. The role involves assisting cross-departmental communication and coordination, supporting the management team and business units with administrative needs, and serving as a key member of the company’s operational support system.

Requirements

  • 1–3 years administrative experience
  • Proficient in Microsoft Office (Excel / Word / PowerPoint)
  • Strong data organization and document management skills
  • Excellent communication and coordination abilities
  • Strong communication and organizational skills
  • Experience in cross-departmental coordination

Nice To Haves

  • Bachelor’s degree preferred
  • Bilingual in Chinese and English (preferred)

Responsibilities

  • Manage office supplies, facilities, and vendor coordination
  • Support meetings and company events
  • Coordinate meeting room bookings and prepare for meetings
  • Assist with contract and budget management
  • Provide administrative support to leadership and departments
  • Oversee office equipment and fixed asset registration and maintenance
  • Handle mail and courier dispatch and registration
  • Assist in maintaining and optimizing the office environment
  • Arrange business travel for employees in accordance with company travel policies (flight, hotel, ground transportation booking, rescheduling, and cancellations)
  • Perform other general administrative duties
