About The Position

This role is to provide comprehensive and efficient administrative support, ensuring efficient day-to-day administrative duties, such as ensuring accuracy and reviewing documentation with strong attention to detail. This position is responsible for offering internal coordination and support to the Firm Administrator and staff administrators to ensure a solid Admin Team working cohesively and proficiently. As part of the administrative team, you will have the opportunity to grow and work with other Admin staff to continually support within a collaborative and corporate work environment. This position has a responsibility for supporting and organizing firm-approved employee events on an as-needed basis, roughly 25% of the time, in addition to the administrative responsibilities, to enhance employee engagement and company culture, within budget approval. This position reports to the Firm Administrator located in our Syracuse, NY office. This position offers flexibility and is an in-office position.

Requirements

  • 2-year degree preferred or 2 + years of administrative experience in a professional office environment
  • Strong organizational and time management skills
  • Ability to multitask and take direction well
  • Excellent written and verbal communication skills
  • Professional attentiveness and ethical standards with professional demeanor and discretion
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Ability to manage multiple priorities and meet deadlines
  • Collaborative mindset with a proactive approach to problem solving
  • Administrative operations and organizational support experience in a professional environment
  • Ability to learn and grow professionally and take on other tasks and duties as assigned
  • Must be adaptable in an office setting and know the importance of teamwork and collaboration

Responsibilities

  • Provide day-to-day support to the administrative team and firm leadership
  • Format financial statements and supporting documentation for review
  • Prepare professional mailings, bindings (proposals, financial statements), and presentation materials
  • Assist with document management, organization, and internal communications
  • Process tax returns and related administrative workflows
  • Manage and respond to internal requests through the administrative ticketing system
  • Support cross-functional teams with administrative needs and project coordination
  • Maintain accuracy and confidentiality of sensitive financial and client information
  • Assist with special projects and general administrative tasks as needed
  • Support planning and execution of internal events, celebrations, catering orders, and busy season meals, event logistics, vendor communication, tracking budgets where applicable, and other events as required, to ensure alignment with company culture and leadership direction.
