If you are looking to serve others, this is the place for you Job Duties: This position is the section point of contact for the statewide administration of the Juvenile Crime Prevention Council (JCPC) funds. Operations to include budget administration, quality assurance, program effectiveness, and database management. Other duties include:

Requirements

  • High school diploma or General Educational Development (GED) diploma and four years of related administrative experience; or equivalent combination of education and experience.

  • Experience with general accounting principles and large-scale budget management.
  • Demonstrated experience communicating with staff at all levels to provide expectations that align with agency core values.
  • Demonstrated experience maintaining spreadsheets within Excel to track data.

Responsibilities

  • Working on tasks, assignments, and special projects directly from the section's Compliance and Quality Assurance Manager and the Director of the section.
  • Provides direct oversight of the Department's monthly JCPC disbursement process and (i.e. us of NCALLIES database) maintains frequent communication with the Fiscal Division and Area Offices regarding funding changes that impact JCPC allocations.
  • Reconcile the monthly JCPC program disbursements on a monthly and annual basis.
  • Analyze third quarter and final accounting documentation to provide assurances that all JCPC-funded programs meet compliance standards as outlined in the Juvenile Crime Prevention Council policies and Department policies.
  • Compiles the annual membership of the JCPC Chairperson directory for 100 counties in accordance to JCPC and Department policy and N.C. General Statute.
  • Initiate statewide monthly Community Programs utilization reporting process.
  • Properly maintain records in accordance with the department and division record retention schedule.
  • Utilize Division databases for data entry and querying specific reports (NCALLIES, Pentaho and Tableau).
  • Responsible for initiating the monthly disbursement process with the Fiscal Division and reconciliation on a monthly and annual basis.
  • Access and project monthly funding amounts required to disburse Department funds to 100 counties.
  • Ensure that programs receive corrective action measures to address areas of non-compliance with assistance of Area Offices and JCPC Area Consultants.
  • Assist with the preparation for area conferences, meetings, and trainings to include logistics, registrations, fees, etc., and required attendance.
  • Ability to organize, prioritize and perform assigned daily tasks independently and in a professional manner by efficiently planning work projects and managing frequent interruptions.
  • Validate mileage reports submitted to the State Office in Motor fleet Management Database for departmental owned state vehicles as the Section's authorized user.
