About The Position

This administrative position performs various clerical duties for the Interstate Maintenance Unit in Division 10 located at our ITP location in Matthews. This is a support role with a significant concentration in records and reports, file management and public contact duties include completing and receiving administrative documents, answering phone, responding to the public, preparing and processing reports, forms, documents, correspondence, filing and maintaining file system, backup for handling/distributing incoming and outgoing mail, and act as a liaison with other state offices. Process payroll/time entry, process fiscal documents such as invoices for payment, requisitions, and purchase order contracts. Knowledge in state government related personnel policies, procedures and programs. Must have the ability to work closely with others and possess good communication skills, both orally and in writing. Must have computer experience including Word and Excel; experience with SAP/BEACON/ARIBA is preferred. Ability to communicate effectively both written and oral with the public and personnel. Ability to check and correct correspondence when needed. Other general office responsibilities will be assigned as necessary. The selected applicant will be expected to legally operate a motor vehicle.

Requirements

  • High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.
  • Knowledge in state government related personnel policies, procedures and programs.
  • Must have the ability to work closely with others and possess good communication skills, both orally and in writing.
  • Must have computer experience including Word and Excel
  • Ability to communicate effectively both written and oral with the public and personnel.
  • Ability to check and correct correspondence when needed.
  • The selected applicant will be expected to legally operate a motor vehicle.

Nice To Haves

  • Customer service experience, including resolving customer issues
  • Experience with Microsoft Office using programs such as Access, Word, and Excel
  • Experience completing and/or maintaining records and reports
  • Experience interpreting and/or explaining policies, procedures, and laws
  • Experience with letter writing, using correct spelling, punctuation and proofreading
  • experience with SAP/BEACON/ARIBA is preferred.
