This role oversees administrative operations, coordinates facility maintenance, manages cash handling, and supports purchasing, supply management, and event scheduling. Customer Service (Reception & Cashiering) Serve as the primary point of contact for Extension public programs, assisting with program information and event registration Provide professional customer service to walk-ins, phone inquiries, and office email communications Maintain an organized and up-to-date lobby with current brochures and materials Process cash, check, and credit card transactions accurately Administrative Support & Coordination Provide administrative support to the County Extension Director and team, including correspondence, scheduling, travel, leave, and general office functions Prepare, proofread, and maintain reports, records, meeting agendas/minutes, and official documents Lead record management, asset inventory, purchasing card transactions, and related administrative processes Support onboarding and training of staff; assist with process improvements and policy updates Coordinate and support monthly staff meetings, including communication and follow-up Office & Reservation Management Manage office resources, space, and electronic systems Coordinate facility, vehicle, and equipment maintenance with internal departments Oversee room and vehicle reservations for staff Order and manage office equipment and supplies About the Schedule Work Hours: Full-time, 40 hours per week. Typical Schedule: Monday - Friday, 08:00 a.m. to 05:00 p.m. (no weekends!) About You To be considered for this role, you must have the following: High School Diploma or equivalent education. 0 to 2 years of business-related clerical experience or exposure. Possess an aptitude and willingness to learn. Valid Florida driver's license by date of hire. Related professional certification and experience with Extension, local government, or educational institution. Bilingual in English/Spanish preferred. Proficient in Microsoft Office Suite, email, and internet applications Demonstrated exceptional customer service skills with the ability to communicate effectively with customers, volunteers, and staff, both in person and by phone Highly organized with strong verbal and written communication skills; able to prioritize multiple projects, anticipate office needs, improve processes, and train staff accordingly Physical Demands: Employees in this role must occasionally lift and/or move up to 20 lbs.
